Job Description

Co-curricular Activities:

  • Collaborate with teachers, staff, and external partners to provide engaging and educational activities and to enhance CCA offerings.
  • Schedule and coordinate all co-curricular events, ensuring they do not conflict with academic schedules and major school events.
  • Coordinate the scheduling of relief teachers for planned and unplanned teacher absences, including illness, professional development, and other leave requests.
  • Communicate with teachers to gather information about upcoming absences and specific instructional needs for each class or subject area.
  • Maintain accurate records of all co-curricular activities, including participation rates, budgets, and program evaluations.
  • Ensure all activities comply with school policies, safety guidelines, and relevant regulations.
  • Gather feedback from students, parents, and staff to continuously enhance program offerings.
  • Communicate effectively with students, parents, and staff about available co-curricular opportunities and schedules.
  • Address parent inquiries and ensure they are well-informed about forthcoming activities and opportunities

Education Visits:

  • Support Academic team with administration support for trips including but not limited to preparing/ processing necessary documents, forms, and purchase requisition requests for the trips
  • Support the Trip leaders with coordination between various stakeholders or vendors as necessary
  • Support the Education Visits coordinator with regards to any training or administrative support as needed

Relief Coordination:

  • Support the relief coordinators - Deputy Heads and Head of Pre - Prep with organising relief cover for absences of teaching and teaching support staff
  • Building the pool of relief cover teaching pool and resources

School Events:

  • Actively participate in supporting the teams that lead the major termly events such as - productions, Brighton society events, celebrations in school etc.
  • Supporting all areas of the above role with secretarial tasks such as minute taking and drafting of agenda items
  • Be in charge of administering the Staff room area and common rooms including tasks such as distributing mail, assisting with the collection and safekeeping of exam papers, and arranging postage and courier services.
  • Any other ad hoc tasks in supporting the academic team.

Position Requirements:

  • Strong organizational and project management skills.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to work both independently and collaboratively in a school environment.
  • Proficiency with technology and software tools for event planning and management.
  • Commitment to fostering an inclusive and supportive environment for all students.
  • Strong organizational & administrative skills, with the ability to manage multiple tasks and deadlines effectively.
  • Flexibility and adaptability to respond to changing priorities and emergencies in a fast-paced environment.

Qualifications:

  • Previous experience in student activities, event planning, or a related area within a school setting is desirable but not required.

Working Conditions

  • Work Schedule: Full-time position with regular school hours. Occasional evenings and weekends are required to supervise and coordinate events and activities.
  • Work Environment: The role involves working in both office and school settings. Frequent interactions with students, staff, and external partners. The work environment can be fast-paced and may require multitasking.
