Job Description

Role Overview

The Operations Executive is responsible for ensuring the smooth, accurate, and timely execution of day-to-day operations that support BNI Singapore's members, chapters, and leadership teams.

This role requires a highly organised and responsive individual who can manage multiple workflows, maintain operational discipline, and deliver consistent support to stakeholders in a fast-paced environment.

Key Responsibilities

  • Operational Execution & Coordination
  • Manage and execute daily operational tasks with high accuracy and timeliness
  • Support end-to-end processes including member administration, training coordination, and internal workflows
  • Maintain structured task tracking to ensure visibility and completion of all assigned work
  • Member & Stakeholder Support
  • Respond to member, chapter, and leadership team queries in a timely and professional manner
  • Ensure all requests are acknowledged and followed through until resolution
  • Provide clear and consistent communication to stakeholders on task status and outcomes
  • Payment & Administrative Operations
  • Manage payment-related queries, tracking, and coordination with Finance
  • Ensure timely follow-up and resolution of outstanding payment matters
  • Maintain accurate records and documentation of transactions and related communications
  • Training & Event Operations
  • Coordinate logistics for training sessions, meetings, and events
  • Ensure readiness of materials, attendance tracking, and on-site/off-site support
  • Maintain high standards of operational execution with minimal disruption
  • Data Management & Reporting
  • Maintain accurate and up-to-date records in internal systems (e.g. BNI Connect, trackers)
  • Generate operational reports as required
  • Ensure data integrity and consistency across platforms
  • Inventory & Resource Management
  • Monitor and maintain inventory levels of operational and training materials
  • Ensure timely replenishment and zero stock-out for critical items
  • Conduct regular inventory checks and maintain accurate records
  • Process Improvement & Documentation
  • Document and update Standard Operating Procedures (SOPs)
  • Identify opportunities to improve operational efficiency and reduce manual work
  • Support implementation of process improvements and system enhancements

Requirements

Experience & Skills

  • 2–4 years of experience in operations, administration, or coordination roles
  • Strong organisational and time management skills
  • Proficient in Google Workspace (Sheets, Docs, Drive); Advance Excel skills preferred
  • Experience handling multiple stakeholders in a fast-paced environment
  • Detail-oriented with strong follow-through

This role requires a high level of responsiveness, discipline, and accountability. Candidates who are not comfortable working in a fast-paced, detail-driven environment or managing multiple priorities concurrently may not be suitable.

Physical Demands and Working Conditions

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly lift, carry, push, pull or otherwise move objects. Repetitive motion.
