Job Description

Under the Family and Life Services (FLS) departmentat Autism Association (Singapore) (AA(S)), our team of Social Workers advocate for the needs of individuals on the autism spectrum, facilitate their access to resources and be their connecting bridge between AA(S) services, family and the community. Our mission is to enable the individuals to maximise their potential, helping them lead meaningful and quality lives in society.

We are seeking a compassionate and highly organised Social Work Assistant to provide critical administrative support to our department. In this role, you will manage the full life cycle of subsidy applications, coordinate intake and transitional support processes for our clients, and maintain the administrative infrastructure that allows our Social Workers to focus on clinical and therapeutic support.

DUTIES AND RESPONSIBILITIES

1. Subsidy and Financial Administration

. Manage the end-to-end process for subsidy applications, including initial submissions and renewals to ensure continuous support for clients

. Verify and submit clients transport claims, ensuring accurate and timely reimbursement

. Regularly update and maintain subsidy audit musters to ensure all documentation are inspection-ready and compliant with funding requirements

. Update and maintain subsidy listings to facilitate accurate billing and subsidy disbursements

2. Transition Planning & Coordination

. Collate and organise post-school applications for graduating students, ensuring all documentation is completed accurately and submitted before deadlines

. Support department's participation in transition sharing sessions with parents, new student orientation and other parent engagement activities

3. Intake Management

. Conduct follow-up communications with prospective clients and families to gather outstanding documentation and coordinate intake assessments to facilitate timely enrolment

. Update and maintain accurate clients subsidy details and case recordings in online databases, ensuring data integrity for Social Workers and management

4. Donation and Resource Coordination

. Track and manage in-kind donations, coordinate distribution to clients in need, and maintain records in e-system for donor acknowledgment

. Continuously update internal resource database with new community resources beneficial for individuals with autism

5. Professional Development and Education

. Maintain professional growth and development through participation in training programmes and supervision

. Sharing with Social Workers and other relevant school departments on relevant process changes

6. Other duties as assigned by management

. Collaborate with other departments in planning, implementing and evaluating organisation-wide events(e.g. school-wide events, Staff Appreciation, The Purple Parade)

. Perform any other relevant duties as requested by the management

Key requirements:

. Diploma in Social Work, Social Service, Community Engagement or other relevant social sciences

. At least 1 year of experience in administrative support, case work assistance or social services

. Excellent verbal and written communication skills ability to communicate with empathy and cultural sensitivity

. Strong time management skills with the ability to manage multiple deadlines simultaneously

. Proficient in Microsoft Office Suite (Word, Excel, Outlook), and experience with database management is a strong advantage
