We are seeking a highly responsible, well-organised, and detail-oriented Site Admin cum Accountant to manage comprehensive administrative, financial, and operational functions at our project site. The candidate must be able to handle high workloads, tight timelines, and multi-tasking demands independently with minimal supervision.
Diploma or Degree in Business Administration, Accounting, or related fields.
Minimum 3-5 years experience in site administration and accounting (construction or engineering sector preferred).
Strong knowledge of project documentation, procurement processes, and site operations.
Proficiency in accounting softwares and MS Office tools.
Excellent organisational skills with the ability to handle high pressure, strict deadlines, and multitasking.
Strong analytical skills, attention to detail, and ability to work independently with minimal supervision.
Good communication skills and ability to coordinate with multiple stakeholders.
Must be disciplined, reliable, and able to maintain confidentiality.
Key Responsibilities:
Administrative & Site Coordination
Manage end-to-end site administration, document control, filing systems, and daily operational records.
Coordinate with subcontractors, suppliers, consultants, and site teams to ensure all documentation, permits, and compliance records are up to date and accurate.
Prepare daily/weekly site reports, minutes of meeting, manpower deployment summaries, and site productivity records.
Oversee material tracking, delivery orders, stock inventory, and issue purchase requests when required.
Handle site logistics arrangements, including worker accommodations, safety passes, training renewals, and permit applications.
Ensure strict compliance with workplace safety regulations, company policies, and site procedures.
Accounting & Financial Management
Maintain site-level accounts including AP/AR tracking, petty cash management, invoice verification, billing, and payment processing.
Prepare monthly financial summaries, cost reports, expense statements, and project budget updates.
Perform bank reconciliations, monitor cost allocations, and flag discrepancies or cost overruns immediately.
Liaise with HQ Finance for monthly closing, audits, payroll information, and financial compliance requirements.
Manage vendor claims, prepare supporting documentation, and ensure timely submission of payment certificates.
HR & Operational Support
Maintain attendance records, timesheets, OT claims, and submit periodic manpower reports.
Coordinate new worker onboarding, work pass applications, renewals, and training schedules.
Handle confidential data and maintain accurate employee records at all times.
Additional Expectations (Tough Requirements):
Able to work extended hours or weekends when required to meet project timelines.
Must handle urgent tasks and last-minute changes without compromising accuracy.
Expected to proactively identify administrative or financial issues and propose solutions.
Ability to take full ownership of site admin and finance matters independently.
