1. Coordination Across Departments:
- Collaborate with various teams to ensure accurate shipment and order fulfillment.
2. Preparation of Shipping Documents:
- Work with freight forwarders to arrange documentation, such as CCP & CO.
- Verify invoices against Sales Order confirmations and pick lists.
- Send invoices to customers for payments and actions.
- Application of CITES permits.
- Prepare documents for Ordinary Certificate of Origin.
- Create Packing Lists, Tag Lists, and Inspection/ Collection Forms to facilitate packing and inspection processes.
3. Shipment Logistics & Coordination:
- Prepare Shipping Instructions for freight bookings, including flight scheduling based on customer requests.
- Coordinate cargo collection date and time with freight forwarders.
4. Customer Communication & Record-Keeping:
- Provide shipment updates and pre-alerts to customers.
- Maintain and organize shipping records for audit and reference purposes.
- Update spreadsheets to track shipments and related tasks.
5. Miscellaneous Tasks
- Release re-export CITES, tags, and picklists for the Packing Department, ensuring shipments are prepared accurately and on time.
- Dispatch ad-hoc items as per instructions.
- Follow up on and verify documentation for accuracy and completeness.
- Perform other related ad-hoc duties as assigned.
Requirements:-
- Certificate or Diploma in Import/Export or a related field and 3-4 years of Proven experience in handling Air and Sea Freight documentation.
- Familiarity with CITES documentation and processes.
- Good knowledge in M3 ERP System, Microsoft Excel and Word.
- Strong ability to work under pressure and manage stress effectively.
- Excellent organizational skills with the ability to prioritize tasks.
- Capable of meeting tight deadlines with accuracy and efficiency.
