POSITION SUMMARY:

The Senior Regional HR Operations Executive is a key contributor to operational excellence and employee experience across Menarini Asia Pacific. This role provides specialized oversight of workplace initiatives, including the direct management of our Singapore HQ office and facilities; and coordination of regional H&S and workplace enhancement initiatives. The incumbent will also be instrumental in the smooth delivery of regional HR initiatives including training programs, ESG reporting and offer agile support for broader HR operational functions as needed. This position is designed for a highly capable professional who ensures our workplace and learning initiatives are both seamless and strategically aligned.

KEY RESPONSIBILITIES:

Singapore and Regional Workplace Operations

  • Oversee daily office administration, facilities management, and local vendor relationships (e.g., cleaning, security, maintenance) to ensure a productive, safe, and efficient work environment for our Singapore HQ employees.
  • Coordinate regional workplace initiatives across all APAC countries in partnership with local HR/admin personnel, identifying and sharing best practices.
  • Support the management and optimisation of the real estate portfolio across APAC, including office setups, expansions, or closures as required, and/or deployment of cost-effective and sustainable administrative solutions, with direct responsibility for the Singapore office premises.
  • Contribute to the implementation of regional and local health and safety initiatives such as efforts to achieve and maintain ISO45001/ ISO14001 certification, ensuring compliance and support for H&S matters within the Singapore office, as well as broader APAC efforts.
  • Support with H&S reporting and compliance requirements as needed.

Learning & Development Support

  • Provides essential administrative support to ensure the smooth and efficient delivery of L&D and training programs. This involves coordinating with various stakeholders to organise HR-related meetings, training, lunch & learn sessions
  • Schedule training sessions, including booking rooms, arranging equipment, and coordinating catering
  • Manage training registration and attendance records.
  • Communicate with trainers and participants regarding training details and logistics.
  • Maintain accurate training records and databases.
  • Process training invoices, expenses, government subsidies and claims
  • Collate, analyse, and summarise training feedback to identify areas for program improvement.

ESG Data Collection and Reporting

  • Support the collection, analysis, and reporting of ESG data specifically related to the Social category (including DEI, H&S, employee well-being, CSR etc.), ensuring reporting aligns with relevant EU ESG reporting requirements and other applicable frameworks.
  • Work closely with global and regional ESG teams and local stakeholders to ensure data accuracy and timely submission as required for comprehensive social impact reporting.

HR Operations Support

  • Provide ad-hoc support and coverage for broader HR operational functions such as new hire and exit management and personnel administration as needed, ensuring business continuity during peak periods or absences.
  • Participate in Regional HR projects or HR operations process improvement initiatives
  • Support implementation of Regional/Corporate HR initiatives for Regional Office
  • Support Regional Office Town Halls

KEY REQUIREMENTS:

  • Bachelor&aposs degree in Human Resources, Business Administration, or a related field.
  • Minimum of 4 years in a multi-faceted HR operations, office administration, and/or facilities management role.
  • Proven experience in direct site or facilities management for a mid-to-large office, with regional coordination experience being a strong plus.
  • Demonstrated experience managing vendors for HR and office services (e.g., training, cleaning, security).
  • Experience providing administrative support for training/learning & development programs, including logistics and financial processing.
  • Foundational understanding of HR operational areas (e.g., employee lifecycle, payroll, C&B).
  • Practical experience with H&S initiatives, including familiarity with relevant policies and a preference for knowledge of ISO 45001/14001.
  • Good understanding of local Singapore office/building regulations and general awareness of workplace practices in the APAC region.
  • Experience with ESG data collection, analysis, and reporting, specifically for the &aposSocial&apos category.
  • Exceptional organizational, communication, and problem-solving skills with a proactive and service-oriented approach.
  • Ability to accurately process invoices and track expenses related to office and training operations.
  • Demonstrated ability to work effectively within diverse cultural contexts in the Asia Pacific region.
  • Able to commit full time as a 2 year contract position
