Job Description

We are looking for a meticulous and experienced Payroll Specialist to join our HR team. This role is responsible for ensuring the accurate and timely processing of payroll for Singapore employees in compliance with statutory requirements and internal governance standards.

Our workforce is dynamic and includes fixed-pay, variable pay, and equity components such as restricted share units (RSUs) and performance bonuses. The Payroll Specialist will play a key role in administering these elements seamlessly while maintaining strong internal controls and delivering a positive employee experience.

Key Responsibilities

End-to-End Payroll Administration (Singapore)

  • Manage monthly payroll processing for Singapore employees, including data collection, validation, computation, and submission to payroll vendor or internal system.
  • Ensure payroll is processed accurately and on time, including regular salary, allowances, overtime, statutory contributions, bonuses, and any ad-hoc adjustments.
  • Reconcile payroll reports against HR records to ensure data integrity and resolve discrepancies promptly.
  • Coordinate with Finance to ensure accurate funding, payment instructions, and month-end close activities.Statutory Compliance & Reporting
  • Ensure payroll compliance with Singapore employment and tax legislation, including CPF, SDL, SHG contributions, IRAS income tax reporting, and other statutory requirements.
  • Prepare and file IR8A, IR21, and AIS submissions within statutory deadlines.
  • Keep abreast of regulatory changes (e.g. MOM, CPF Board, IRAS) and update payroll processes accordingly.
  • Support statutory and internal audit requests, providing accurate documentation and timely responses.

Variable Compensation & Equity Administration

  • Partner with Rewards team to process performance bonuses, sales incentives, and discretionary payments accurately and in line with governance policies.
  • Liaise with external share plan administrators and internal stakeholders to ensure correct taxation and reporting of equity grants, RSU vesting, and share sales for Singapore employees.
  • Ensure appropriate withholding tax calculations and payroll reflection for equity transactions.
  • Maintain proper documentation and audit trails for all variable and equity payments.

Payroll System & Process Management

  • Manage data interfaces between Workday (HCM) and the payroll system/vendor to ensure data accuracy and security.
  • Participate in UAT testing for system upgrades or process enhancements.
  • Identify opportunities to streamline workflows and improve operational efficiency, leveraging automation where possible.
  • Maintain confidentiality and data protection standards in line with PDPA and company policy.

Employee Support & Stakeholder Collaboration

  • Act as the first point of contact for payroll queries from employees and HRBPs, ensuring timely and professional resolution.
  • Collaborate closely with HR, Finance, Tax, and external vendors to ensure smooth end-to-end payroll operations.
  • Educate employees and managers on payroll timelines, payslip details, and statutory obligations when needed.

Requirements

  • Diploma or Bachelor's degree in Accounting, Human Resources, Finance, or related field.
  • 3–5 years of payroll experience in Singapore, ideally in a fast-paced environment such as financial services or tech.
  • Strong knowledge of Singapore payroll regulations, CPF/IRAS reporting, and statutory submissions.
  • Experience managing bonus and equity administration is highly preferred.
  • Familiarity with Workday or other HCM/payroll systems.
  • High level of accuracy, integrity, and attention to detail.
  • Excellent interpersonal and communication skills with a service-oriented mindset.
