Job Description

We are an event Audio Visual (AV) equipment rental and production company looking for a Senior Operations Executive to coordinate daily logistics scheduling, manpower deployment and operational coordination for equipment deliveries and event setups.

This role focuses on managing operational schedules, crew deployment and warehouse coordination to ensure jobs are executed smoothly.

You will work closely with drivers, AV crew and customer service staff to coordinate daily logistics operations and ensure jobs are prepared in advance.

The role suits candidates who are comfortable working in fast-paced operational environments where schedules may change and operational coordination is required throughout the day.

This position focuses on operations coordination and scheduling, rather than event design or creative production.

Key Responsibilities

. Coordinate daily logistics schedules for equipment delivery, setup and teardown

. Assign crew timings and manpower deployment across multiple operational jobs

. Monitor operational schedules and adjust plans when last-minute changes occur

. Act as the main operations coordination point between drivers, AV crew and customer service team

. Maintain operational calendars to ensure equipment, manpower and schedules are accurate

. Review upcoming jobs in advance to ensure crews and equipment are properly prepared

. Coordinate closely with customer service teams to ensure smooth job execution

. Plan crew schedules efficiently to balance workload and minimise unnecessary overtime

. Ensure operational SOPs and workflows are followed

. Identify recurring operational issues and propose practical improvements to scheduling, coordination and equipment readiness

. Work with drivers, AV crew and customer service teams to develop and refine operational SOPs that reduce mistakes and improve efficiency

. Review past jobs to identify problems and implement preventive operational processes

. Continuously improve operational workflows to make daily operations smoother and more predictable

. Provide occasional on-site operational supervision during major deployments when required

Requirements

. 3-6 years experience in logistics operations, warehouse operations, manpower scheduling or operational coordination

. Experience coordinating technicians, drivers, or operational crews

. Strong organisational skills and attention to detail

. Comfortable managing multiple schedules and operational priorities simultaneously

. Calm decision-making during operational adjustments

. Able to communicate clearly and write operational instructions

. Basic computer skills (scheduling tools, messaging platforms and spreadsheets)

. Candidates from logistics, facilities management, warehouse operations or manpower coordination environments are welcome to apply

. Comfortable working in a warehouse-based operational environment and coordinating with delivery, customer service and technical crews

. Able to observe operational problems and work with teams to develop practical SOP improvements

Minimum Qualification

Nitec / Higher Nitec / Diploma or equivalent practical experience

Formal degrees are not required. Relevant operational experience is more important.

Working Schedule

. 5.5-day operational work week

. Rest day typically scheduled on Tuesday

. Operations run across weekdays and weekends depending on event schedules

. Schedule may adjust occasionally during peak operational periods
