We are seeking a Senior Office & Administration Executive to manage day-to-day office operations, administrative activities, and office-related projects, supporting employees and stakeholders across multiple regions to deliver a seamless workplace experience.
What You'll Do
Office Operations & Project Management
- Lead and coordinate office-related projects, including renovations, relocations, equipment upgrades, and workspace improvements
- Manage office supplies, assets, and vendor relationships
- Handle administrative tasks such as contracts, purchase orders, and expense processing
- Ensure smooth daily office operations, including office upkeep and compliance with safety standards
Administrative Support
- Assist with routine administrative tasks, including employee files, documentation, attendance records, and policy implementation
- Support onboarding activities such as employee orientation, equipment setup, and document collection
- Assist with HR initiatives, including employee engagement activities and administrative logistics
- Collaborate with the Recreation Committee to support the planning and organization of company events
- Provide necessary administrative and data support as required
- Arrange assets and workstation setups for new employees, ensuring timely delivery handle general clerical duties and provide comprehensive administrative support to company personnel
- Provide administrative and operational support across multiple regions, including Singapore, Dubai, and the Philippines
- Take on additional duties and projects assigned to support the team and business objectives
Who You Are
- Diploma or Bachelor's degree in Business Administration, Human Resources, Management, or a related field
- Minimum 2years of relevant experience in office operations, administration, or a similar role
- Proven experience in managing office operations, vendors, assets, and administrative processes
- Experience in coordinating office projects such as relocations, renovations, or workspace setup is an advantage
- Good understanding of administrative procedures, documentation, and compliance requirements
- Ability to work independently with minimal supervision and take ownership of assigned responsibilities
- Strong communication and interpersonal skills, with the ability to work across teams and regions
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Detail-oriented, proactive, and solution-driven mindset
- Good command of both written and spoken English (Chinese ability is a plus if required for China-based support)
- Proactive, reliable, and adaptable in a fast-paced office environment
