Job Description

Key Tasks and Responsibilities:

  • Lead the day-to-day delivery of office administration and workplace services for Singapore office, ensuring a safe, efficient and welcoming environment
  • Act as the main point of contact for our office floor and coordinate the work and coverage of reception and other assigned administration support with other team assistants
  • Review and revamp office administration processes, service routines and workspace arrangements, introducing practical improvements that enhance efficiency and employee experience
  • Oversee office assets, general administration, maintenance, security and workplace upkeep, including space planning, workstation readiness, internal moves, meeting rooms, common areas, furniture and office equipment
  • Partner with Group's facilities team and shared-service providers on building services, planned works and other workplace requirements affecting the office
  • Take a lead in workplace risk assessments and statutory compliance activities, and lead the Working Environment Committee, including periodic meetings, action tracking and follow-up
  • Support workplace safety, security and emergency preparedness activities, including inspections, drills and an appointed emergency-response role
  • Manage relevant vendors, service agreements, purchasing and office supplies, monitoring service quality, costs and contractual requirements
  • Prepare and monitor the office administration budget, maintain accurate records, and highlight variances, risks and upcoming requirements
  • Coordinate office logistics with other team assistants in the planning and execution of company-wide events and activities such as town halls, employee events and visitors, as well as mail and courier services, providing hands-on support when required

Qualifications:

  • Diploma or degree in Business Administration, Facilities Management or a relevant discipline, or equivalent practical experience
  • At least 7 years of relevant experience in office administration, workplace services or facilities coordination, preferably in a medium-to-large corporate office
  • Experience acting as a team lead or principal office point of contact, including coordinating support staff and multiple vendors
