Role Overview:
This role provides support and guidance to IT globally for vendor selection and evaluation activities for each IT spend and contract review, in accordance with the company's policies and operating manuals (POM). With a high degree of autonomy and independence, you will manage continual support and collaborate closely with Finance, Global Risk, Legal, and Tax for each IT procurement review, including contract reviews.
Key Responsibilities:
Procurement Management:
- Support IT team members globally on procurement activities, including the Request for Quote (RFQ) and Request for Proposal (RFP) processes for all IT categories.
- Ensure timely updates, accuracy, and completeness of the electronic procurement approval process and IT Procurement SharePoint site.
- Prepare and support RFQs with requestors, including reviewing RFQ documents.
- Prepare and support RFPs with project teams, including reviewing RFP documents and planning RFP activities from start to completion of contract signing.
- Conduct vendor contract reviews and negotiations with Finance, Global Risk, Legal, Tax, and Treasury.
- Manage the procurement process, including contract renewals and extensions, in a timely, consistent, and quality manner according to IT guidelines and POMs.
- Track the completion status of each procurement request and contract review.
- Perform annual vendor performance reviews.
Contract Management:
- Oversee the contract management process, including reading and extracting relevant contract data and uploading all IT contracts onto the Global Contract Repository in a timely and consistent manner.
- Monitor the completion status of filing relevant IT contracts.
Audit Compliance:
- Collaborate with IT business unit teams on audit remediation activities.
- Track and generate summary reports on audit remediation progress.
Requirements:
- Experience : 7 years of experience working in IT Procurement.
- Procure-to-Pay Expertise: Proven experience in procure-to-pay activities across all IT categories.
- RFQ and RFP Skills: Strong hands-on skills and knowledge in preparing and managing Requests for Quote (RFQ) and Requests for Proposal (RFP) for IT categories.
- Contract Document Proficiency: Good experience in reviewing and preparing IT contract documents, particularly for global markets, with a focus on Singapore and the USA.
- Detail Orientation: Must be detail-oriented to ensure accuracy and compliance in all procurement activities.
- Independence and Interpersonal Skills: Essential to be independent and possess strong interpersonal skills for effective vendor management.
- Contract Negotiation Experience: Demonstrated experience in contract negotiation.
- Sourcing Experience: Experience in supporting IT teams with purchasing needs assessment, conducting market research, and identifying potential vendors.
- Knowledge of Contract Law: Familiarity with contract law is an added advantage.
