We are seeking a proactive and detail-oriented Senior HR & Admin Executive to join our HR team. This role combines administrative support with Payroll and key HR functions such as recruitment coordination, work pass applications/renewals and general administrative tasks. The ideal candidate will ensure smooth HR operations, comply with local employment regulations (including MOM guidelines) and contribute to a positive employee experience. This position is ideal for someone with a passion for HR administration and a willingness to grow within a fast-paced organization.
Key Responsibilities
Recruitment Support:
Full recruitment lifecycle, including posting job advertisements on platforms like JobStreet and MyCareersFuture.
Screening resumes, scheduling interviews, conducting initial candidate screenings and coordinating reference checks.
Support regional recruitment if needed.
Work Pass Management:
Work Passes applications and renewals for foreign employees.
Document verification for submission to the Ministry of Manpower (MOM).
Ensure compliance with eligibility criteria.
Training
Conduct Onboarding orientation for new hires.
Registration for training and working with stakeholders on the planning.
Maintaining Training Calendar.
Payroll Assistance:
Ensure timely and accurate payments in line with Singapore's employment laws.
Submission of CPF contributions and other relevant regulatory payments.
Employee Onboarding and Support: Coordinate new hire onboarding, including orientation sessions, issuance of company assets and initial training.
Respond to employee queries on benefits, leave and policies to foster a supportive workplace.
Compliance and Reporting
Weekly attendance and vehicle reporting.
Assist in HR audits and maintain confidentiality of sensitive information.
Administrative Duties:
Prepare and manage HR-related documents such as employment contracts, termination letters and employee handbooks.
Maintain accurate employee records in HR systems.
Ensure all proper digital documentation of employees are saved in their respective Personnel Files.
Insurance renewal and assisting with claim submission.
Manage pantry & office supplies.
Support ad-hoc projects like employee engagement initiatives (eg. Monthly Engagement activities, Annual Company Trip, Surveys).
Requirements
Diploma in Human Resources, Business Administration or a related field.
At least 3 years progressive HR operations experience in Singapore, preferably in a fast-paced SME or industrial environment.
Strong working knowledge of Singapore Employment Act, MOM regulations, CPF, and payroll compliance.
Structured thinker with strong process documentation ability.
Able to work independently with minimal supervision. Strong organizational skills.
Bilingual in English and Mandarin. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking stakeholders.
Detail-oriented with a high level of integrity ability to handle confidential information discreetly.
Understanding of Singapore employment laws, including work pass eligibility and payroll compliance.
Additional information:
Working Hours : Mon - Fri, 9am-6pm.
Transport to and from Jurong East MRT station provided.
