We are seking a proactive and detail-oriented Senior / HR Generalist to support the full spectrum of Human Resources functions. The role will be responsible for payroll administration, CPF submissions, work pass administration, WICA claims management, employee lifecycle processes, recruitment coordination, and HR compliance matters to support both office and warehouse operations.
Key Responsibilities
Payroll & Compensation
- Manage monthly payroll processing and ensure timely salary payment.
- Verify attendance, overtime, allowances, incentives, and leave records.
- Prepare payroll reports and reconcile payroll data.
- Administer CPF contributions and ensure compliance with CPF regulations.
- Support IR8A preparation and annual tax reporting requirements.
Work Pass Administration
- Process Work Permit, S Pass, and Employment Pass applications, renewals, cancellations, and transfers.
- Liaise with the Ministry of Manpower (MOM), vendors, and employees on work pass matters.
- Maintain accurate employee records and work pass documentation.
WICA & Employee Relations
- Manage workplace injury cases and coordinate WICA claim submissions.
- Liaise with employees, supervisors, insurers, medical institutions, and MOM regarding workplace injury matters.
- Maintain workplace injury records and ensure timely reporting compliance.
- Support employee counselling, disciplinary actions, investigations, and grievance handling.
HR Operations & Administration
- Maintain employee personal files and HR records.
- Administer leave, attendance, and employee database systems.
- Prepare HR letters, employment certifications, and HR-related documentation.
- Support employee confirmation, transfer, promotion, and termination processes.
- Ensure HR policies and procedures are properly implemented and communicated.
Compliance & Reporting
- Ensure compliance with the Employment Act, CPF Act, Workplace Injury Compensation Act (WICA), and MOM regulations.
- Prepare HR reports, manpower statistics, turnover analysis, and management reports.
- Support internal and external audits.
- Maintain HR documentation in accordance with company retention policies and statutory requirements.
Other Duties
- Participate in HR projects, process improvements, and system implementation initiatives.
- Perform any other HR-related duties assigned by management.
Requirements
- Minimum 5 years of HR Generalist experience.
- Experience handling payroll, CPF, and MOM work pass matters.
- Experience managing WICA cases and employee relations matters is an advantage.
- Experience in logistics, warehousing, FMCG, retail, or operations-intensive environments will be highly regarded.
- Good understanding of Singapore Employment Act, CPF regulations, MOM requirements, and WICA.
- Familiarity with Infotech payroll and HRIS systems.
- Ability to communicate in English and Mandarin is preferred to liaise with Chinese-speaking employees and stakeholders.
