Job Description

Role Summary

The HR Executive supports the day-to-day HR operations for KWE-APLL Technology Services. Reporting to the HR Manager, this role focuses on backend HR administration, automation, and process improvement, ensuring smooth employee lifecycle management, accurate data handling, work pass administration, and payroll coordination.

Key Responsibilities

HR Operations & Employee Lifecycle

  • Execute end-to-end onboarding and offboarding processes, including documentation, system updates, and coordination with internal stakeholders
  • Maintain accurate and up-to-date employee records, HR databases, and digital filing systems
  • Prepare HR documentation such as employment contracts, confirmation letters, and HR correspondence

Work Pass & Statutory Administration

  • Handle work pass applications, renewals, cancellations, and related submissions with government authorities
  • Ensure compliance with employment regulations and statutory requirements

Payroll & Vendor Coordination

  • Liaise with external payroll vendors to support monthly payroll processing
  • Compile and submit accurate payroll inputs including new hires, resignations, leave, claims, and variable payments
  • Follow up on payroll discrepancies and address payroll-related employee queries

HR Automation & Process Improvement

  • Support HR automation initiatives such as digital forms, workflow improvements, and HR system enhancements
  • Identify and propose process improvements to streamline HR operations and reduce manual work
  • Support HR data entry, reporting, and basic HR analytics

General HR Support

  • Provide operational and administrative support to the HR Manager
  • Respond to employee HR queries in a timely and professional manner

Requirements

  • Diploma or Degree in Human Resources, Business Administration, or related field
  • Minimum 2-4 years of HR operations / HR administration experience
  • Experience in work pass administration and payroll coordination preferred
  • Strong attention to detail and process-driven mindset
  • Comfortable working with HR systems, spreadsheets, and automation tools
  • Able to work effectively in a fast-paced, evolving environment
