Job Purpose
The Senior Finance Executive, Grants is responsible for managing the organization's grant portfolio throughout the grant lifecycle, from award and utilisation monitoring to reporting and closure. The role ensures that grant funds are properly accounted for, utilised according to approved conditions and managed in compliance with funding agencies requirements, accounting standards and organizational policies.
Responsibilities
Grant Administration
- Manage the administration of grants throughout the grant lifecycle, from award to closure.
- Maintain accurate grant records, agreements and supporting documents.
- Monitor grant conditions, submission deadlines and funding requirements.
- Work closely with internal stakeholders on grant administration matters.
Grant Tracking and Utilization
- Monitor grant expenditure against approved budgets and funding conditions.
- Track grant balances and utilisation to ensure that funds are used within the approved period.
- Identify potential under-utilisation, overspending or non-compliance risks and escalate them promptly.
- Prepare regular grant utilization reports for management's review.
Grant Accounting and Financial Management
- Prepare grant-related journal entries, reconciliations and supporting schedules.
- Support grant income recognition and accrual accounting in accordance with the applicable accounting standards.
- Coordinate grant claims, reimbursements and funding submissions.
- Ensure that all grant-related transactions are accurately recorded in the ERP system.
Compliance, Audit and Reporting
- Prepare financial and utilisation reports for funding agencies and management.
- Ensure compliance with grant agreements, funding guidelines and regulatory requirements.
- Coordinate grant audits and prepare the necessary supporting documents for auditors.
- Follow up on audit observations and resolve grant compliance issues promptly.
Stakeholder Management
- Partner with programme owners, operational departments and finance teams to monitor grant performance.
- Liaise with funding agencies on grant administration, claims and reporting matters.
- Advise internal departments on grant policies, fund utilisation and documentation requirements.
Process and System Improvement
- Identify opportunities to improve grant-management processes and strengthen internal controls.
- Participate in ERP enhancements, finance transformation projects and grant-system improvements.
- Support the development and updating of grant-related standard operating procedures and guidelines.
- Promote good practices in grant governance, documentation and regulatory compliance.
Requirements
- Bachelor's degree in Accountancy, Finance, Business or an equivalent discipline.
- At least four to six years of relevant experience in grant administration, finance or financial reporting.
- Experience handling government grants or grant-funded programmes would be advantageous.
- Good understanding of grant accounting, compliance, reporting and audit requirements.
- Proficient in Microsoft Excel and experienced in using ERP systems.
- Strong financial analysis and reconciliation capabilities.
- Excellent planning, organisation and stakeholder-management skills.
- Detail-oriented with a high level of accuracy.
- Able to work independently, solve problems and manage multiple deadlines.
