Overview
Support day-to-day procurement operations and ensure timely, transparent, and compliant processes in line with Gallery policies.
Key Responsibilities
- Review procurement documentation such as purchase requisitions, quotations, tender documents, and ensure accuracy, completeness, and compliance.
- Coordinate procurement activities including closure of open POs, vendor list review, and supplier performance assessments.
- Maintain organised and audit-ready procurement documentation.
- Perform compliance checks on procurement documents and collaborate with departments on required corrections, to strengthen governance and resolve procurement-related issues.
- Use procurement database records to analyze trends, identify compliance gaps, and prepare reports for management decisionmaking.
- Provide guidance and advice to stakeholders on procurement requirements, thresholds, documentation standards, and process expectations.
- Support internal and external audit activities.
- Contribute to ongoing improvements of templates, SOPs, guidelines, workflows, and procurement awareness initiatives.
- Any other ad-hoc duties as assigned.
Job Requirements
- Diploma/Degree in Accounting, Procurement, Business, Supply Chain, or related field.
- Minimum 2 to 4 years procurement experience; experience working within public-funded/charity governance will be an advantage.
- Strong understanding of procurement controls, documentation, and audit expectations.
- Proficient in Microsoft 365, Coupa, Excel Pivot Tables and data analysis tools to generate insightful reports.
- Strong analytical, organisational, and problem-solving skills; meticulous attention to detail.
- Ability to work independently, manage multiple deadlines, and deliver accurate outputs.
- Excellent stakeholder management, communication and interpersonal skills to co-create solutions.
- Driven and ability to balance operations with governance rigor.
