Purpose of the Role:
Reporting to the Head of Volunteer Management, thiw role will ensure effective recruitment, engagement, and retention of volunteers for SCS. The purpose of this role is to build a strong volunteer network that supports the charity's mission, values, and goals. The role includes managing volunteer activities and flagship events, fostering positive experiences for volunteers, and supporting the charity's long-term volunteer strategy.
Responsibilities:
1. Volunteer Recruitment and Registration
- Coordinate the recruitment process, including advertising volunteer opportunities, screening, and interviewing applicants.
- Register volunteers to database, including their availability, skills, and preferences.
2. Onboarding and Training
- Facilitate smooth onboarding by providing orientation sessions for new volunteers.
- Deliver general SCS training for volunteers as part of their onboarding and orientation for necessary knowledge and skills before role deployment.
3. Volunteer Engagement
- Engage with volunteers to ensure they feel valued and connected to the charity's mission.
- Plan and organize volunteer recognition and appreciation events.
- Provide ongoing support and communication to volunteers, ensuring they have the resources and guidance needed to succeed in their roles.
- Manage communication channels to volunteers through email and/or telegram channel.
4. Deployment and Coordination
- Liaise with internal stakeholders and staff for volunteering opportunities and requirements.
- Coordinate and match volunteers with appropriate roles based on their skills, interests and programme needs.
- Ensure programme staff are equipped with information on how to engage and manage volunteers during their programmes/events.
5. Administrative Support
- Develop and maintain an up-to-date database of volunteers.
- Oversee system to track volunteer hours and maintain records of participation.
- Collect feedback from volunteers and report any concerns or improvements.
- Prepare regular reports on volunteer activities and programme success for internal stakeholders.
- Any administrative matters related to Volunteer Management (e.g Volunteers Letters, managing of budget for events etc)
6. Events Management and Coordination
- Recruit volunteers for flagship events and deploy them accordingly to event programme requirements.
- Ensure that staff are briefed on how to manage volunteers during the event.
- Support in the planning and organizing of events for volunteers and coordination of staff with volunteers.
7. Stakeholders Management
- To manage liaisons for internal and external stakeholders of volunteer management.
8. Marketing
- Plan and support promotional efforts for volunteer opportunities. This may include, but not limited to: (i) special event planning, (ii) collaterals design and print (via Canva)
- Social media marketing
Criteria:
- Diploma with minimum of 1-2 years of experience in social sector, event coordination, or community outreach or equivalent relevant experience preferred. OR Diploma or degree in any discipline.
- Fresh graduates are welcome but must have a positive mindset with some past volunteering experience.
- Experience working with diverse groups of volunteers and community partners.
- Possess communication, critical thinking, strategic planning, effective time management skills.
- Ability to manage multiple tasks, meet deadlines, and prioritise effectively.
- Strong communication skills, with the ability to build relationships and work effectively with diverse groups of people, and open to speaking to a large crowd.
- Ability to address challenges in volunteer management, ensuring smooth operations and satisfaction for both volunteers and the charity.
- Ensuring accuracy in volunteer records, schedules, and reporting.
- Experience organizing events, meetings, and recognition initiatives for volunteers.
