Provide administrative support for venue bookings and event closings.
Assist with responding to telephone and email enquiries.
Assist with Front of House administrative matters like rostering and dissemination of event information to ushering team.
Assist with the issuance of Letter of Acceptance, event estimate, rental deposit, final costing, and post event payment.
Assist in the dissemination of the feedback form for hirers and partners.
Work closely with the Finance department to ensure that billing and payments are collected and processed in a timely manner.
Liaise with hirers on outstanding deposits and payment.
To ensure excellent customer service when liaising with hirers and partners.
Support with the preparation of management reports.
Any additional duties as assigned by Management.
Requirements:
A diploma or degree in Arts Management, Business Administration, and/ or Events Management, preferably with working knowledge in the following fields: Arts Facilities Management, Tenancy Management, Leasing and/or Partnership Management.
At least 2-3 years of relevant experience.
Working knowledge of Event Business Management Software (EBMS) is preferred.
Strong interest and passion in Chinese arts and culture.
Outgoing personality with a can-do spirit.
Good time and relationship management skills.
Able to work independently and be a good team player.
Bilingual with proficiency in Mandarin would be advantageous.
