Role Purpose
Pro Bono SG's Non-Proft Legal Services (NLS) Department provides legal and compliance support in-house and to the non-profit sector, including charities, non-profits, ground-up initiatives and social enterprises. The Senior Executive Officer / Executive Officer ensures smooth delivery of legal services through frontline engagement, case management, and operational support to internal and external stakeholders.
Key Responsibilities
1. Case Intake, Triage & Assessment
- Review and process applications for legal assistance.
- Conduct triage assessments to determine eligibility and recommend appropriate pathways.
- Liaise with applicants to gather documents and complete case information.
2. Case Management & Assignment
- Coordinate assignment of eligible cases to volunteer lawyers.
- Update and maintain case records, databases, and related tracking systems.
- Oversee case closures, administer surveys and ensure all documentation is completed and properly filed.
- Maintain accurate records to support programme reporting and operations.
- Host zoom meetings and review zoom notes for consistency.
3. Other Support
- Administrative support for Pro Bono SG's in-house governance needs, including preparing Board and Committee meeting materials and minutes, coordination with our Corporate Secretary and updating risk registers, policies and SOPs.
- Provide frontline support to enquiries and applications received from walk-ins at our physical touchpoints, through our mailbox, hotlines and other digital platforms.
- Support outreach programmes, including talks and workshops, preparation of materials, participant coordination, logistics, and post-event follow-up.
- Maintain programme data and contribute to reporting, analysis, and insights to support service improvement, Committee discussions, and management reporting.
- Support Committees and meetings, including scheduling, minute-taking and action tracking.
- Support departmental projects and operational initiatives as required.
- Liaise with external stakeholders and partners, including volunteer law firms, sector partners, and collaborating agencies, to support programme delivery and joint initiatives.
Requisite Educational Qualifications
- Degree or Diploma in Law, Business Administration, Social Sciences, Public Administration, or related fields.
- Prior exposure to legal studies, paralegal studies, or compliance work will be advantageous.
Skills & Experience
- Prior experience in legal services, non-profit, social service, or client-facing administrative roles preferred.
- Experience managing case intake, operational workflows, or service delivery processes in a structured environment.
- Ability to assess applications, manage case assignments, and maintain accurate records and tracking systems.
- Experience supporting administrative and governance processes, including preparing meeting materials and minutes.
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Experience coordinating across stakeholders, including professionals, partners, and service users.
- Proficient in Microsoft Office and comfortable using digital tools (e.g. Zoom, case management or CRM systems).
- Strong written and verbal communication skills.
