Job Summary

We are seeking a highly meticulous and proactive Senior Executive to join our Licensor Management team. This role is the operational core of our licensor relationship framework. You will be responsible for the end-to-end management of all submission and approval processes, ensuring all marketing campaigns align with the stringent brand standards of our licensors, including Universal Destinations & Experiences (UDX) and third-party licensors (e.g., Illumination, Sesame Workshop, Amblin Entertainment, etc.).

The ideal candidate is an exceptional project coordinator with a keen eye for detail, superior organizational skills, and the ability to navigate complex stakeholder landscapes.

Key Responsibilities

1. Submission & Approval Workflow Management:

  • Serve as the primary administrator for all licensor submission portals and trackers.
  • Prepare, compile, and submit all required materials for licensor review, including but not limited to:
    • Marketing & Advertising Assets (digital, social, print, TVC)
    • Digital Content (website, app feature)
    • OTA / TA / Reseller Content
    • Strategic Partner Content
  • Ensure all submissions are complete, accurate, and adhere to specific licensor brand guidelines and submission protocols.

2. Project Coordination & Tracking:

  • Maintain a tracker to monitor the status of all submissions, deadlines, and approvals across multiple projects simultaneously.
  • Proactively follow up with internal stakeholders to gather required information and assets.
  • Provide regular status reports to the Manager and key internal teams, highlighting risks, delays, or critical dependencies.

3. Licensor Relationship & Communication:

  • Act as a key day-to-day contact for licensor representatives on operational matters.
  • Facilitate clear and professional communication between internal teams and licensors.
  • Schedule and coordinate approval meetings, preparing agendas and documenting feedback and action items.

4. Compliance & Brand Governance:

  • Develop a deep understanding of each licensor's brand standards and style guides.
  • Conduct preliminary reviews of internal materials to ensure compliance before formal submission, minimizing revision cycles.
  • Maintain an organized and up-to-date digital library of all brand guidelines, approved assets, and licensor communications.

5. Process Improvement:

  • Identify bottlenecks and inefficiencies in the submission and approval process.
  • Work with the Manager to develop and implement new tools, templates, and workflows to streamline operations and improve turnaround times.

Required Qualifications

  • Bachelor's Degree in Business, Marketing, Communications, Project Management, or a related field.
  • Minimum 3-5 years of experience in a project coordination, brand management, marketing operations, or client servicing role. Experience within a licensing, entertainment, creative agency, or theme park environment is a significant advantage.
  • Proven experience managing multiple projects with competing deadlines in a fast-paced environment.
  • High proficiency in Microsoft Office Suite (especially PowerPoint and Excel)
