Senior HR Executive
Job Purpose
To support and drive end-to-end recruitment and HR operations with a strong focus on talent acquisition, work pass processing, employment contracts, onboarding coordination, and stakeholder management across entities. The role requires hands-on experience in recruitment operations, employee documentation, HR compliance, and coordination with internal and external stakeholders.
Key Responsibilities
Recruitment & Talent Acquisition
- Manage end-to-end recruitment process including sourcing, screening, interview coordination, offer management, and onboarding support.
- Partner closely with hiring managers and stakeholders to understand manpower requirements and ensure timely closure of positions.
- Develop effective sourcing strategies through job portals, LinkedIn, recruitment agencies, referrals, and direct sourcing channels.
- Coordinate interview scheduling and candidate communication to ensure positive candidate experience.
- Maintain recruitment trackers, hiring reports, and recruitment MIS dashboards.
- Support workforce planning and monitor recruitment progress across entities.
Work Pass & Employee Documentation
- Handle application, renewal, cancellation, and tracking of Employment Passes, S Passes, Dependent Passes, and other relevant immigration documentation.
- Prepare and maintain employment-related documentation including employment contracts, confirmation letters, transfers, promotions, and other HR correspondence.
- Ensure timely and accurate maintenance of employee records and HR documentation in HR systems and personnel files.
- Maintain strict confidentiality and data integrity while handling employee information and sensitive HR records.
HR Operations & Compliance
- Support payroll inputs and coordination with payroll processing using HR systems such as SAGE Easy Pay.
- Ensure compliance with statutory regulations, labor laws, and internal HR policies.
- Assist in preparation of HR reports, dashboards, headcount analysis, and HR analytics.
- Monitor budgeted versus actual headcount and highlight variances to stakeholders.
- Support employee onboarding, engagement initiatives, surveys, and HR operational projects.
- Assist in process improvement initiatives and HR system optimization.
Stakeholder & Vendor Management
- Liaise with internal stakeholders including hiring managers, business leaders, finance, and operations teams for recruitment and HR operational matters.
- Coordinate with external vendors, recruitment agencies, immigration partners, and service providers to ensure timely support and compliance.
- Ensure smooth communication and timely resolution of employee and stakeholder queries.
- Support contract coordination and vendor documentation management where required.
Job Requirements
Qualifications
- Bachelor's Degree in Human Resources, Business Administration, or related discipline.
Experience
- Minimum 5+ years of relevant HR experience with strong exposure to recruitment, HR operations, work pass processing, and stakeholder management.
- Hands-on experience managing end-to-end recruitment across multiple functions and levels.
- Strong understanding of Singapore MOM regulations, employment laws, and work pass processes.
- Experience in preparing employment contracts and handling employee documentation.
- Prior experience with HRMS/payroll systems such as SAGE Easy Pay preferred.
- Strong proficiency in Microsoft Excel, PowerPoint, and HR reporting.
- Ability to manage multiple stakeholders and work in a fast-paced environment.
- Strong organizational, coordination, and communication skills.
- High attention to detail and ability to maintain confidentiality.
