Job Description

The Senior Executive, Faculty Appointments will support the Head, Faculty Affairs in the faculty recruitment operational and administrative matters as well as the Faculty Affairs Office in ensuring that accurate & timely services are provided in an effective and efficient manner.

Faculty Recruitment and Events support:

  • Provides support to compile and profile applicants background information i.e. publications, citations and h-index, grants, etc. and verify applicants data for SSC's evaluation.

  • Prepares list for shortlisted applicants for detailed comparison study.

  • Updates application and evaluation status promptly. Ensure applications are reviewed by SSC within the given timelines.

  • Arranges for SSC meetings and take simple minutes.

  • Plans visit programme, research and teaching seminars.

  • Coordinates with AC (Undergraduate) office to get sufficient students and collate student feedback scores.

  • Arranges for LCC Specialist. Collate results of teaching survey.

  • Processes reimbursement claims of faculty's meal & faculty candidate's travel expenses.

  • Purchases of vouchers and process students vouchers for attending lectures.

  • Prepares dossier for submission to College.

  • Plans and coordinates Faculty Affairs Office events or anything related to recruitment or faculty initiatives.

  • Supports the logistics and planning of meetings, events, including venue bookings, catering, coordination with faculty and unit managers where necessary.

  • Assists in putting up entertainment claims by faculty who are on recruitment trip/mission.

  • Datamining and profiling of potential international candidates creates database for easy references.

  • Assists with checking and verifyingfaculty'sExternal Consultation and Professional Activities online applications.

  • Undertakes other duties and tasks assigned by Senior Management, as well as secretariat duties for SSC meetings etc.

Requirements:

  • Minimum Bachelor's Degree from a recognized institution.

  • At least 3 years of relevant professional experience preferred.

  • Strong interpersonal skills and ability to manage stakeholders across different levels.

  • Service-oriented and willing to go above and beyond job requirements to serve the School.

  • Prior experience in recruitment process and events planning will be advantageous.

  • Resourceful with the ability to work independently as a team member with minimal direction.

  • Able to work independently and in teams with cross-department members, stakeholders and others in the organization.

  • Strong written and verbal English skills for coordinating recruitment and evaluation processes, and supporting formal meetings and official documentation.

  • Demonstrates flexibility and adaptability according to changing needs and priorities.
