[What the role is]
This is a 2-year position as a Senior Executive/Executive, Admin in the School of Life Sciences & Chemical Technology.
The Senior Executive/Executive, Admin will provide comprehensive administrative and operational support across various academic and non-academic functions. The role involves managing examination processes, supporting academic ceremonies and scholarship-related activities, coordinating with adjunct lecturers on administrative matters, and assisting in outreach and staff engagement initiatives. The ideal candidate is detail-oriented, organised, and capable of managing multiple tasks within given deadlines.
[What you will be working on]
Your responsibilities will include, but are not limited to, the following:
- Supporting academic matters
- Provide administrative support for all examination-related matters, including exam processing, scheduling invigilation duties, managing examiner/moderator lists, coordinating script reviews, generating exam reports, managing records management of exam materials, and processing exam related matters such as appeals, deferments, and withdrawals.
- Timetabling & Common Test Scheduling: handle timetabling tasks and support the scheduling of common tests to ensure accuracy and smooth operations.
- Provide administrative support for PET and CET adjunct matters, including hiring processes and teaching claim submissions.
- Supporting school events
- Graduation & Awards Coordination: Support the organisation of graduation ceremonies and awards. Coordinate with donors on prize disbursements and maintain accurate records.
- Provide administrative support for LSCT outreach events, engagement activities, and staff well-being programmes.
- IT support and general administrative support
- Provide IT support such as setting up, administering the loan and return of, and keeping inventory of the IT equipment (PCs, portable storage devices, monitors and projectors, printers, etc)
- Provide general administrative support, including records management, minutes writing, drafting correspondence, and office coordination duties as required.

- Good working knowledge of MS Office applications and IT systems
- Good working knowledge of WorkDay and government finance and procurement processes and system (i.e. GeBIZ) would be an advantage
