The Student and Academic Services Department (SASD) is a dedicated team committed to delivering comprehensive support across the entire student life cycle-from admission and matriculation to graduation and beyond the classroom. SASD works collaboratively with schools, colleges, and autonomous institutes to ensure seamless and enriching academic journeys for all students.
This position sits with the Student Affairs Office (SAO), a pillar committed to fostering a vibrant and enriching student life experience by collaborating with partners to support students personal growth. Through student-led initiatives, leadership development programs, residential hall activities, transition and integration efforts, community engagement and sports, SAO provides opportunities for holistic development beyond the classroom.
We are seeking a Junior Digital Transformation executive to support SAO's digital initiatives. This role is designed for early-career professionals who are eager to learn, contribute, and grow in the areas of systems implementation, process automation, and technology adoption. You will work closely with the project lead(s) and gain hands-on experience in digital transformation while helping to improve processes and enhance student life services.
Responsibilities:
Support and assist in the end-to-end planning, coordination, and implementation of SaaS and Bespoke systems, in-house applications, and AI-Driven solutions under the guidance of the project owner in SAO.
Support requirements gathering with stakeholders within SAO and help develop solutions using low-code or no-code platforms to automate workflows
Track project timelines, milestones, and resources to ensure on-time delivery.
Document business process workflows, functional and technical specifications, and user guides with accuracy
Coordinate with internal teams (workstream members, Centre of IT Service, Student Management System team, etc) and external vendors to facilitate communication
Contribute to User Acceptance Testing (UAT) by preparing test cases, executing tests and tracking issues and work with relevant stakeholders to troubleshoot issues.
Help organise training sessions and prepare materials to support system rollouts
Assist in change management to ensure smooth transitions to new systems and processes.
Monitor system performance post-go-live and provide first-level support for operational issues.
Coordinate with teams to resolve technical issues and identify system enhancement opportunities.
Requirements:
Degree in Information Technology, Computer Science, Business Information Systems, or a related field is preferred. Diploma holders with relevant experience are welcome.
Some experience or internship exposure in IT project coordination, systems implementation, or process automation is an advantage.
Familiarity with higher education systems or Student Affairs/Life processes is an advantage.
Experience in IT project coordination/management, systems implementation, or process automation.
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Visio.
Strong verbal and written communication skills, along with the ability to present effectively.
Strong stakeholder management and collaboration skills.
Proven ability to document systems and processes accurately and clearly.
Excellent organizational skills, with the capability to manage multiple tasks and prioritize effectively.
Ability to work both independently and collaboratively within a cross-functional team environment.
