Position Overview
We are seeking a highly dependable and experienced Executive Assistant to provide comprehensive support to the CEO/founder across business operations, executive coordination, and selected personal matters.
Key Responsibilities
Executive Support
- Provide full-spectrum administrative and operational support to the CEO
- Manage complex calendars, meetings, business schedules, and travel arrangements
- Coordinate cross-functional matters with internal teams and external stakeholders
- Prepare correspondence, presentations, reports, and confidential documentation
- Handle ad-hoc requests and time-sensitive matters efficiently
Business & Operational Coordination
- Coordinate regional or overseas arrangements where necessary
- Ensure smooth day-to-day execution of executive priorities
Personal & Lifestyle Coordination
- Assist with selected personal arrangements, scheduling, and private matters for the CEO when required
- Coordinate travel logistics, appointments, transportation, and related arrangements
- Support high-touch hospitality arrangements for VIP guests and external visitors
Requirements
- Minimum 8 years of experience supporting senior executives, founders, or business leaders
- Prior experience in Executive Assistant / Personal Assistant / Executive Operations roles
- Strong sense of confidentiality, discretion, and accountability
- Highly organized, resourceful, and responsive
- Excellent interpersonal and communication skills
- Able to multitask and remain composed under pressure
- Comfortable handling both corporate and occasional personal matters
- Proficiency in English and Mandarin is required to liaise with Mandarin-speaking stakeholders effectively.
