Job Description

This role is accountable for the endtoend execution and governance of IT procurement and IT asset lifecycle management across CPG. The incumbent ensures that IT hardware, software, licenses, and related services are acquired, tracked, renewed, and disposed of in a costeffective, compliant, and operationally efficient manner.

Job Responsibilities:

Vendor & Supplier Management

  • Liaise with vendors, distributors, system integrators, and service providers to obtain quotations, negotiate commercial terms, and coordinate deliveries.

  • Build and maintain effective working relationships with key IT vendors to ensure service quality, pricing competitiveness, and responsiveness.

  • Coordinate vendor onboarding, performance tracking, and issue resolution in collaboration with IT and Finance teams.

  • Ensure vendors comply with contractual obligations, security requirements, and CPG standards.

  • Support periodic vendor reviews and benchmarking exercises to identify cost optimization and service improvement opportunities.

IT Asset Management (Hardware & Software)

  • Maintain a complete, accurate, and auditable inventory of all IT assets, including hardware, software, licenses, warranties, and subscriptions.

  • Track the full asset lifecycle, from acquisition and deployment to movement, refresh, return, and disposal.

  • Ensure assets are properly tagged, recorded, and reconciled against physical and system records.

  • Coordinate asset allocation, transfer, and recovery in support of joiners, movers, and leavers.

  • Produce regular asset reports for IT management, Finance, Audit, and other stakeholders.

Software License & Compliance Management

  • Maintain detailed records of software licenses, usage entitlements, renewal dates, and contractual terms.

  • Monitor software usage to ensure compliance with vendor licensing agreements and avoid under or overlicensing.

  • Coordinate license renewals, trueups, and audits with vendors and internal stakeholders.

  • Support software cost optimization initiatives through rationalization and usage analysis.

  • Ensure documentation and evidence are available for internal and external license audits.

Contract, Renewal & Financial Administration

  • Manage ITrelated contracts, including maintenance agreements, support contracts, subscriptions, and warranties.

  • Track contract terms, expiry dates, renewal cycles, and financial commitments.

  • Coordinate contract renewals in a timely manner to avoid service disruption or financial penalties.

  • Verify vendor invoices against purchase orders, contracts, and delivered goods or services.

  • Work closely with Finance to ensure accurate cost allocation, accruals, and budget tracking.

Tendering & Commercial Evaluation

  • Support and manage IT tendering and sourcing exercises in accordance with procurement governance requirements.

  • Assist in the preparation of tender documents, technical and commercial evaluation criteria, and comparison matrices.

  • Coordinate clarification sessions, proposal evaluations, and consolidation of recommendations for management approval.

  • Ensure transparency, fairness, and auditability throughout the tendering process.

Asset Disposal & Risk Management

  • Coordinate secure and compliant disposal of IT assets at endoflife, including engagement with approved vendors and recyclers.

  • Ensure proper data sanitization, destruction certification, and disposal documentation.

  • Ensure disposal activities comply with information security, data protection, and environmental regulations.

  • Maintain disposal records for audit and compliance purposes.

Governance, Audit & Process Improvement

  • Ensure IT procurement and asset management practices comply with internal policies, audit requirements, and regulatory standards.

  • Support internal and external audits by providing accurate documentation, asset registers, and transaction records.

  • Identify gaps, risks, and inefficiencies in procurement and asset management processes.

  • Recommend and implement process improvements to enhance efficiency, control, and transparency.

  • Contribute to the development and maintenance of IT procurement and asset management policies, standards, and procedures.

Job Requirements:

  • Bachelor's degree in information technology, Business Administration, Supply Chain Management, Procurement, or a related discipline.

  • Minimum 5-8 years of relevant experience in IT procurement, IT asset management, or IT operations support.

  • Strong working knowledge of IT infrastructure, enduser computing, and enterprise software environments.

  • Good understanding of software licensing models, including SaaS, subscriptionbased, and perpetual licenses.

  • Strong attention to detail, with a high level of accuracy and documentation discipline.

  • Good commercial awareness and ability to manage cost, value, and risk.

  • Strong communication and stakeholder management skills, with the ability to work across IT, Finance, and business teams.

  • Able to work independently, manage multiple priorities, and meet deadlines in a structured environment.

  • Proficient in Microsoft Office applications advanced Excel skills.
