Job Description

Purpose of Job

The Senior Executive / Assistant Manager, Digital Communications and Outreach supports the planning and delivery of SMI's digital communications, talent development programmes, stakeholder engagement, and events. The role develops multimedia content that brings SMI's people, research, programmes, and events to life, while coordinating programme activities and providing operational and administrative support. The officer helps ensure that initiatives are delivered professionally, on schedule, and in alignment with SMI's mission and the needs of the maritime research and innovation ecosystem.

Principal Accountabilities

The officer is responsible for coordinating and supporting:

i. Digital media and content development

ii. Talent development programmes

iii. Corporate and programme events

iv. Reporting and administrative support

Key Duties and Responsibilities
a. Digital Media and Content

i. Plan and produce video content from concept to completion, including developing content angles, storyboarding, filming, and editing.

ii. Provide photography and videography coverage for SMI events, stakeholder visits, town halls, staff features, internal activities, and programmes, and adapt the content for relevant communications channels.

iii. Create visual content for SMI's social media platforms, including short-form videos, reels, photo stories, and campaign visuals, where required.

iv. Design electronic direct mailers (EDMs), posters, social media graphics, and other digital assets for internal and external communications, announcements, events, and staff engagement.

v. Coordinate content and shoots with stakeholders, ensure alignment with SMI's brand and messaging, and maintain an organised repository of approved photo, video, and design assets.

vi. Prepare briefs, presentations, invitations, correspondence, and other materials for stakeholder meetings and outreach campaigns.

b. Talent Development Programme Support

i. Support the planning and delivery of talent development programmes, including postgraduate scholarships, fellowships, internships, and other capability-building initiatives.

ii. Coordinate programme administration, including applications, registrations, schedules, participant communications, logistics, and follow-up with partners.

iii. Monitor programme timelines, budgets, milestones, participation, and deliverables, and maintain complete and accurate records.

iv. Compile feedback and programme data, and prepare reports and recommendations to improve programme delivery and the participant experience.

c. Event Planning and Management

i. Coordinate outreach and engagement with government agencies, research institutes, institutes of higher learning, industry partners, students, and other maritime ecosystem stakeholders.

ii. Support the end-to-end planning and delivery of conferences, seminars, workshops, roadshows, exhibitions, networking sessions, and other corporate or programme events.

iii. Coordinate venues, vendors, speakers, sponsors, partners, registrations, procurement, event schedules, and logistics in accordance with approved plans and budgets.

iv. Provide on-site event support, including registration, programme coordination, photography, audiovisual arrangements, and stakeholder assistance.

v. Complete post-event administration, including feedback collation, expense reconciliation, reporting, and archiving of event materials and media assets.

d. Reporting and Administrative Support

i. Maintain work plans, schedules, trackers, databases, stakeholder contact lists and records for communications, talent development, outreach, and events.

ii. Support budget monitoring, procurement, , and other administrative requirements in accordance with organisational policies.

iii. Provide meeting and secretariat support, including agendas, notes, action tracking, and document management, where required.

e. Others

i. Undertake any other duties or responsibilities as assigned by management.

Qualification and Experience
a. A recognised degree or diploma in Media, Communications, Design, Marketing, Film Production, or a related discipline.

b. Up to two years of relevant experience for degree holder or five years for diploma holder in communications, digital content, programme coordination, outreach, or events.

c. Experience in video production, photography, design, talent or education programmes, outreach initiatives, or corporate events would be an advantage.

d. An interest in maritime research and innovation, and in working with public-sector, academic, and industry stakeholders, would be an advantage.

Skills
a. Strong writing, editing, and presentation skills, with the ability to adapt content for different audiences and channels.

b. A good eye for visual storytelling, content angles, and visual consistency, with practical skills in video production, photography, content creation, and basic graphic design.

c. Familiarity with social media trends and the ability to adapt them appropriately for a corporate brand.

d. Working knowledge of tools such as Adobe Premiere Pro, Photoshop, Illustrator, Lightroom, Canva, and CapCut, as well as platforms such as LinkedIn and WordPress.

e. Strong project coordination and organisational skills, with the ability to manage multiple priorities and deadlines.

f. Good stakeholder engagement and interpersonal skills, with a collaborative and service-oriented approach.

g. Proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook.

h. Resourceful, proactive, and receptive to feedback, with the ability to work independently and as part of a team.
