Responsibilities
- Provide administrative and secretarial assistance to the Director and departmental staff. Coordinate logistics for meetings, events, training sessions, and departmental activities. Maintain and manage departmental records, documentation, and filing systems following organizational policies. Prepare meeting agendas, schedule appointments, manage calendars, and record meeting minutes as necessary. Process and monitor departmental billing, invoices, and related administrative documentation. Assist with procurement and inventory management activities within dental clinics, ensuring adequate stock levels and vendor engagement. Manage departmental IT hardware and software needs, liaising with vendors and support teams for issue resolution. Handle correspondence and telephone inquiries professionally, engaging with both internal and external stakeholders. Perform additional administrative duties and projects as directed by the Director.
Requirements
- Diploma in any discipline. Minimum 3 years of relevant working experience, preferably in the healthcare sector. Strong communication and interpersonal skills to interact effectively with stakeholders. Detail-oriented, proactive, and capable of teamwork. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Ability to work independently, prioritize tasks, and adapt in a fast-paced setting. Strong organizational and problem-solving skills. A cheerful and service-oriented personality is advantageous.
