Job Description

School of Physical and Mathematical Sciences seek to hire the position of Senior Executive, Administrative Support. This newly created headcount will assist faculty primarily in the administration of Research Information System (RISE) as the Unit Manpower Officer, a critical role in the research hiring process. The incumbent will also assist the school on the administrative of hiring and renewing matter relating to Faculty, Adjunct and Visiting appointment, as well as special projects from the School.

Responsibilities:

Superuser for RISE Unit Manpower Officer (UMO) and ARIBA (purchasing system)

  • Provide advice to PI on research hiring/contract renewal/ transfer process in Research Information System (RISE)
  • Provide in-person support concern problems with RISE
  • Assist and guide faculty on ARIBA system

Lead on Researcher Manpower cost (EOM) related matter

  • Work closely with PI to identify potential fund deficiency
  • Collaborate with NSS HR and to ensure WBS account number is updated correctly in Workday system
  • Collaborate with NSS FIN to ensure charging are done correctly

Provide support on Faculty Appointment and Reappointment related matter

  • Solicitation of CV, referee letters etc.
  • Generate citation report from Web of Science
  • Coordinate the required forms for faculty renewal including report from the SREC
  • Coordinate campus visit

Support on School's Adjunct and Visiting Appointment and Reappointment

  • Solicitation of dossiers and school report on the appointment
  • Support on the honorarium payment and teaching claims
  • Assist in training employment pass application process

Requirements:

  • Bachelor's degree.
  • Good understanding of system behaviour (Research Information System, IGSM etc).
  • At least 2 years of working experience in office administration.
  • Experience in Research Information System, ARIBA, IGSM will be an added advantage.
  • Excellent organizational and time management skill, problem solving skills and troubleshooting skills.
  • Good interpersonal skills.
  • Effective team player with good communication skills.
  • Proficient in Microsoft Office suite applications.
  • Self-driven, good working attitude.
