Job Summary
Senior Executive (ARE) will support the Academic & Residential Experience (ARE) unit in administrative and operational tasks to advance student development through co-curricular activities, managing academic and scholar-related clubs, and hall councils.
Responsibilities
- Administer Student Community Engagement (ARE) programmes and projects by processing applications, submitting claims and reimbursements, and generating accurate reports to support decision-making
- Manage procurement and asset tracking for clubs and hall councils to ensure timely and compliant purchases aligned with budgetary guidelines
- Maintain and update Student Community Engagement databases to provide reliable data for management and operational reporting
- Develop and coordinate communication of ARE publicity materials and maintain publicity portals to enhance student engagement and awareness
- Coordinate facilities booking requests efficiently to support smooth execution of student activities
- Provide comprehensive administrative support including arranging meetings, recording minutes, and assisting at SAO events to facilitate effective team collaboration
- Plan proactively by anticipating operational needs, taking ownership of assigned tasks, and recommending improvements to enhance administrative processes
- Manage multiple concurrent tasks with adaptability to changing priorities while maintaining high organizational standards
- Collaborate effectively with team members and stakeholders through strong interpersonal communication to foster a supportive work environment
Required competencies and certifications
- Proficiency in Microsoft Office applications, especially Excel and Power Automate, to automate workflows and manage data efficiently
Preferred competencies and qualifications
- Experience of 1-2 years in programme or project administration including budget processing, funding claims, reimbursements, and reporting to support operational effectiveness
- Degree or Diploma in any discipline fresh school leavers are welcome to apply
