We are looking for a proactive and highly organised Senior/Associate Executive to provide administrative support to the Chief OperatingOfficer (COO). The successful candidate should be able to multi-task, maintainstrict confidentiality and work effectively with internal and externalstakeholders.
The key responsbilities of this incumbent will be asfollows:
- Provide comprehensive administrative support tothe COO including managing calendars, appointment and travel arrangements
- Handle both internal and external customerqueries/requests related to COO's office and follow-up accordingly
- Monitor and manage the COO's email,correspondence and meeting requests
- Manage confidential and sensitive informationand records for the COO's office
- Prepare reports, presentations and operationaldocuments and ensure timely submission
- Organise filing system and maintain accuratedocumentation
- Assist in preparation of budget requirements andmanaging of budget
- Organise departmental events
- Coordinate communication between the COO and theinternal and external partners
- Ensure the smooth running of the office whichincludes keeping records of department's asset as and maintaining officesupplies
- Coordinate and track action items arising frommanagement, departmental and operational meetings, ensuring timely follow-upand closure.
- Prepare meeting agendas, take minutes, andmaintain records of key decisions and action plans.
Requirements
- Recognised Diploma in Business or its equivalentwith at least 2 years of relevant working experience preferably in supportingsenior management
- Good interpersonal skills and resourceful
- Good organisational, planning and timemanagement skills
- Able to work independently while managingmultiple priorities
- Strong attention to detail and problem-solvingskill
- Proficiency in Microsoft Office (Word, Excel,Power point)
- Good oral and written communication skills
