Job Description

The Office of Alumni Engagement (OAE) manages records for more than 300,000 alumni and supports NTU's alumni engagement strategy through reliable and meaningful data. This role ensures the accuracy, governance, and effective use of alumni data to enable engagement activities, institutional reporting, and data-driven decision-making across the University.

Key Responsibilities

Alumni Data Management and Governance

  • Ensure accuracy, completeness, and timely updates of alumni data in Blackbaud CRM, including CET, events, and volunteer engagement.

  • Partner with the Senior Executive to uphold data integrity and consistent data standards across alumni records.

  • Manage CRM access requests and coordinate CRM onboarding and training with the University Advancement Office.

  • Support data audits and communicate PDPA, NTU data privacy, and data governance updates to stakeholders.

Reporting, Analytics, and Insights

  • Develop and maintain alumni engagement dashboards and reports for operational and strategic use.

  • Serve as the primary liaison with the Office of Data Analytics on alumni-related data requests, including Graduate Employment and QS surveys.

  • Coordinate CET-related alumni data with NTU Academy for Professional and Continuing Education (NTU PACE).

Workflow Optimisation and Data Process Improvement

  • Identify and address gaps and inefficiencies in alumni data workflows within Blackbaud CRM.

  • Implement improved data management processes with internal stakeholders.

  • Maintain and update data-related SOPs and user guides.

Stakeholder Coordination and Operations Support

  • Act as a key coordination point with the University Advancement Office and Centre of IT Services on CRM and alumni data issues.

  • Work closely with the Alumni Services Team Lead, OAE colleagues, and NTU units to align data governance and operational needs.

Ad Hoc Data Requests Management

  • Prioritise, fulfil, and track ad hoc alumni data requests and ensure accurate, validated data extracts and timely delivery aligned with request complexity.

Data Related Project Management

  • Support alumni data-related projects involving externally commissioned systems or platforms by working with vendors, CITS, UAO, and other stakeholders to ensure proper collection, processing, uploading, and storage of alumni data.

Support for other key alumni engagement initiatives

  • Assist in the planning and execution of OAE signature events for alumni.

  • Perform other duties as assigned.


Qualifications

  • Bachelor's degree in Information Systems/Technology, Data Analytics, or other related fields.

  • Advanced knowledge of Microsoft applications, e.g., Excel, Power Automate, Co-Pilot, and other AI tools

  • Knowledge and skills in data visualisations, e.g., Power BI, Qlik Sense, and programming/coding.

  • Familiarity with the Personal Data Protection Act (PDPA), data privacy, and governance policies.

  • Minimum 4-5 years experience in data and database management, or customer or membership-type platforms/apps, or IT related-projects, or minimum 10 years relevant experience in place of a bachelor's degree.

  • Experience in managing others, e.g., junior staff, will be advantageous.

Skills & Competencies

  • Effectively bilingual in English and Chinese (both written and spoken), to support engagement with English- and Chinese-speaking alumni and stakeholders, and to manage bilingual alumni records and communications.

  • Excellent communication (both written and verbal) and interpersonal skills, with the ability to engage and connect with diverse stakeholders.

  • Strong project management skills, with the ability to coordinate multiple initiatives simultaneously.

  • Knowledge of alumni relations and an understanding of the higher education landscape are a plus.

  • Resourceful and able to work independently and in a group setting in a fast-paced environment.

  • Exceptional organisational skills and attention to detail.
