Overview Of Position
To support Directors, Managers and Heads of Department in the development and management of administrative and operational projects within the Allied Health Division/Departments.
Responsibilities
- Arrange and coordinate meetings and other official engagements for Division/ Departments/workgroups.
- Prepare necessary materials and slides for Division/Department/workgroup meetings and disseminate them to all relevant stakeholders in a timely manner.
- Record minutes/take notes of Division/Department meetings and follow-up on Matters Arising.
- Plan systematic and easily accessible filing system for portfolio and meetings materials.
- Design, implement, monitor and evaluate operational initiatives, projects and processes in the Division/ Departments. E.g. rostering, incident reporting, risk management, workplace safety and health, emergency preparedness and others.
- Manage cross departmental and multidisciplinary teams to drive and execute operational projects.
- Monitor the Division's / Department's / Workgroup's Key Performance Indicators assigned in portfolios.
- Collate and report departmental budgets, including CAPEX, OPEX and manpower training budgets.
- Support Managers/Directors/ Heads of Department in the management of resources and operations to ensure optimum utilisation of resources.
- Support Managers/Directors/ Heads of Department in the management of resources and operations to ensure optimum utilisation of resources.
- Support Managers/Directors/ Heads of Department in developing, implementing and monitoring departmental and hospital guidelines to ensure provision of quality services and implement improvement initiatives/projects.
- Perform administrative duties related to Division / Department / Workgroups.
- Organise events, programmes, talks, workshops and symposiums etc. for Division/Departments.
- Provide liaison support for internal and external parties involved in business and strategic service projects and patient services for the Division.
- Compile and trends, data information and reports.
- Other assigned tasks.
Requirements
- Degree preferably in Allied Health/Health Sciences
- Good working knowledge in MS Office (Word, Powerpoint, Excel, One Drive, Teams)
- Good communication and interpersonal skills
- Proactive, meticulous and possess initiative
- Ability to problem-solve, multi-task and work under tight timelines
- Good analytical and organization skills
- Able to work efficiently and independently
- At least 2-4 years of experience in administration / project management / operations, preferably in a health-related industry
- Experience in healthcare, hospital operations, service-related industries or human resources preferred.
