[What the role is]
The incumbent will provide operational and administrative support for grant management processes and general administrative services within the CET institution. This role ensures compliance with funding agencies requirements (e.g. SSG-funded programmes), supports smooth programme administration, and delivers efficient administrative services to internal stakeholders and learners.
[What you will be working on]
- Grant Management Support (SSG-funded Programmes)
- Support end-to-end grant administration, including grant claims preparation, approval, tracking, disbursement, grant appeal and closure processes
- Perform pre-course checks to ensure eligibility criteria and supporting documents are complete and compliant with funding requirements
- Liaise with internal stakeholders to ensure completeness and accuracy of grant submissions
- Monitor grant utilisation, flag discrepancies, and follow up on outstanding items
- Maintain proper records for audit and review purposes
- Liaise with funding agencies on submissions, clarifications, and reporting requirements
- Support audit preparation and ensure proper documentation and compliance with funding guidelines
- Financial & Billing Payment Support
- Track course fees and funding disbursements
- Support reconciliation of training fees and grant claims
- Work closely with finance team to ensure timely and accurate billing and collection
- Other Administrative Support & Services
- Fixed Assets and Store Management
- Coordinate and procure maintenance services and repairs of office equipment, and proper management of office supplies.
- Process Adjunct Trainers (AT) training allowance
- Special Projects (Corporate Training) Course Administration & Coordination
- Process Improvement
- Support process improvements to enhance efficiency and service delivery
- Contribute to the development of SOPs and guidelines
The candidate should be adaptable and able to rotate to take on various administrative and operational tasks to assist with CET training.
[What we are looking for]
Requirements
- Demonstrated experience in administrative support or related roles. Familiarity with SSG funding schemes and systems (e.g., TPGateway) will be an advantage.
- Ability to work independently and manage tight timelines
- Strong organisational skills with attention to detail and accuracy
- Good analytical and problem-solving abilities
- Good communication and interpersonal skills
- Proficient in Microsoft Office applications (especially Excel).
- Able to work on staggered hours basis to support early morning office commencement, or evening classes and roadshows/events
