Job Description

Key Responsibilities

1. Client Account Servicing & Relationship Management

  • Serve as the primary point of contact for assigned clients and projects.
  • Build and maintain long-term relationships with corporate clients, agencies, government bodies, and partners.
  • Attend client briefings, meetings, site recce, rehearsals, and project discussions.
  • Understand client objectives, branding requirements, budgets, and operational expectations.
  • Provide strategic event recommendations and creative solutions based on client goals.
  • Ensure timely follow-up on client enquiries, quotations, revisions, and approvals.
  • Manage client expectations, project timelines, and deliverables professionally.
  • Prepare presentation decks, event proposals, quotations, and project reports.

2. Event Project Management

  • Oversee the full lifecycle of events from pre-event planning to execution and post-event reporting.
  • Develop detailed project timelines, production schedules, and operational workflows.
  • Coordinate internal departments including creative, design, technical, logistics, registration, and production teams.
  • Ensure all project milestones and deliverables are met within timeline and budget.
  • Conduct regular project status meetings and internal briefings.
  • Manage multiple concurrent events and priorities effectively.
  • Ensure contingency planning and risk management measures are in place.

3. Operations & Logistics Management

  • Plan and oversee event operational requirements including:AV systemsstaginglightingLED wallstentagefabricationregistration systemslogistics and transportation
  • Coordinate manpower deployment including freelancers, crew, technicians, show callers, and event staff.
  • Liaise with venues, suppliers, contractors, and authorities regarding operational requirements.
  • Ensure all setup, rehearsals, event execution, and teardown operations run smoothly.
  • Oversee inventory planning, equipment allocation, and logistical coordination.
  • Ensure compliance with venue regulations, safety standards, and permit requirements.

4. Budgeting & Cost Control

  • Prepare event budgets, costing sheets, and profit margin analysis.
  • Source quotations from vendors and negotiate competitive pricing.
  • Monitor project expenses and ensure profitability targets are achieved.
  • Track purchase orders, invoicing, vendor payments, and project reconciliations.
  • Identify cost-saving opportunities without compromising event quality.

5. Vendor & Stakeholder Management

  • Build and maintain strong relationships with vendors, suppliers, venues, and technical partners.
  • Evaluate vendor performance, pricing competitiveness, and service standards.
  • Coordinate supplier timelines, technical requirements, and operational schedules.
  • Ensure all vendors meet project specifications and delivery standards.

6. Onsite Event Management

  • Lead onsite event operations during setup, rehearsal, show-day, and teardown.
  • Manage show flow, cue coordination, and live troubleshooting.
  • Supervise event crew, registration operations, VIP handling, and technical execution.
  • Ensure client satisfaction and immediate resolution of onsite issues.
  • Coordinate with show caller, AV team, stage manager, and venue operations teams.
  • Maintain professionalism and calmness under high-pressure situations.

7. Team Leadership & Internal Coordination

  • Lead and mentor junior account executives, project coordinators, and operations staff.
  • Delegate responsibilities and monitor team performance.
  • Conduct internal briefings and ensure clear communication across departments.
  • Foster a collaborative and solutions-driven working environment.

8. Reporting & Administrative Duties

  • Prepare post-event reports, event summaries, and client debriefs.
  • Maintain proper documentation including quotations, contracts, permits, floorplans, and operational checklists.
  • Update CRM systems, project trackers, and internal reporting systems.
  • Ensure compliance with company SOPs and operational standards.

Preferred Skillsets

  • Strong knowledge of event production and operations
  • Experience managing corporate and large-scale events
  • Strong communication and client servicing skills
  • Excellent project management and multitasking abilities
  • Budgeting and vendor negotiation experience
  • Familiarity with AV, staging, lighting, LED systems, and event logistics
  • Ability to work under tight timelines and high-pressure environments
  • Strong leadership and problem-solving skills
  • Proficiency in Microsoft Office, Excel, PowerPoint, and project management tools
