The Section Chief handles operational tasks related to sea freight, including shipment coordination, documentation, and customercommunication, while also supporting the assistant manager in their duties.
Key Responsibilities:
Operational Oversight:
- Managing and supervisingdaily sea freight activities, including import and export operations.
- Maintain and enhance coreoperational processes, records, quality documentation, and KPIs.
- Lead continuous processimprovement initiatives to achieve operational efficiency and zero defects.
- Manage and resolveoperational issues proactively, escalating to higher management only whennecessary.
- Manage and resolve shipmentclaims in coordination with customers, suppliers, and internal teams.
Team Management:
- Leading and supporting ateam, providing guidance and ensuring efficient workflow.
- Assess training needs andfacilitate continuous learning and development to uplift team competency.
- Prepare, review, andconduct staff performance appraisals.
- Foster a high-performanceculture and team engagement
Client and Supplier Relationship Management:
- Build and maintain strong relationships with customers and suppliers tosupport service excellence and business growth.
- Handles customer inquiries,quotations, and complaint resolution, ensuring timely and effective responses.
- Negotiate rates and serviceterms with customers and suppliers
- Manage supplier performance, including invoice approvals.
Compliance & Quality Assurance:
- Ensure all operations meetregulatory, safety, and customer compliance standards.
- Responsiblefor the documentation, review, and maintenance of the Safety and Quality Manualand other related compliance records to ensure alignment with company standardsand regulatory requirements.
Financial Management & Reporting:
- Ensures timely and accuratebilling and posting of invoices, and managing costs related to sea freightoperations.
- Manage and monitor AR/APperformance, ensuring timely collections and payments.
- Analyze and generatereports as required.
Others:
- Perform other duties andresponsibilities as assigned by management.
Requirements:
- Candidate must possess at least O Level qualification.
- Minimum 5 years of relevant experience in the shipping industry (must be in the same industry).
- Must have Good knowledge of import and export ocean shipments.
- Knowledge of Letter of Credit documentation, Incoterms, Singapore shipping procedures, and freight forwarding.
- Knowledge of using PortNet, TradeNet, and invoicing.
- Good interpersonal, communication, and analytical skills.
- Able to work as a team player, proactive, self-motivated, and possess a high sense of responsibility.
- Motivated individual with good planning and follow-up skills.
- Able to handle a high volume of workload in a fast-paced environment.
- Possess creative problem-solving skills.
- Willing and able to work overtime when required.
Work Arrangement: 5 days work week / Monday to Friday from 8am to 5.45pm
