Job Summary
Provide high-level administrative and organizational support to the General Manager (GM) within an automotive business. The role ensures smooth day-to-day operations, efficient communication, and coordination across departments such as sales, service, and operations.
Key Responsibilities
- Manage GM's calendar, appointments, and meeting schedules
- Prepare reports, presentations, and correspondence
- Handle confidential documents and sensitive information
- Act as the primary point of contact between GM and internal/external stakeholders
- Coordinate meetings with departments (sales, aftersales, finance, operations)
- Take meeting minutes and follow up on action items
- Maintain organized filing systems (digital and physical)
- Assist with administrative and any other tasks assigned by the GM
Requirements
Education & Experience
- Diploma or bachelor's degree in business administration or related field
- 2-5 years of experience as a secretary or executive assistant (automotive industry preferred)
Skills
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office (Excel, PowerPoint, Word)
- Ability to multitask and prioritize effectively
- Detail-oriented and proactive
Preferred Qualifications
- Experience in automotive, dealership, or mobility industry
- Familiarity with CRM or ERP systems
- Ability to handle fast-paced, dynamic environments
- Valid Class 3 driving license

- Reports directly to the General Manager
