Job Description

Job Summary

Provide high-level administrative and organizational support to the General Manager (GM) within an automotive business. The role ensures smooth day-to-day operations, efficient communication, and coordination across departments such as sales, service, and operations.

Key Responsibilities

  • Manage GM's calendar, appointments, and meeting schedules
  • Prepare reports, presentations, and correspondence
  • Handle confidential documents and sensitive information
  • Act as the primary point of contact between GM and internal/external stakeholders
  • Coordinate meetings with departments (sales, aftersales, finance, operations)
  • Take meeting minutes and follow up on action items
  • Maintain organized filing systems (digital and physical)
  • Assist with administrative and any other tasks assigned by the GM

Requirements

Education & Experience

  • Diploma or bachelor's degree in business administration or related field
  • 2-5 years of experience as a secretary or executive assistant (automotive industry preferred)

Skills

  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Ability to multitask and prioritize effectively
  • Detail-oriented and proactive

Preferred Qualifications

  • Experience in automotive, dealership, or mobility industry
  • Familiarity with CRM or ERP systems
  • Ability to handle fast-paced, dynamic environments
  • Valid Class 3 driving license

Reporting Line

  • Reports directly to the General Manager
