Job Summary

Join KAS as Secretary cum Office Administrator to support the PDA Director and ensure smooth office operations at the Lavender office. You will manage executive assistance, travel logistics, office administration, and event coordination.

Responsibilities

  • Provide personal assistance and secretarial support to the Political Dialogue Asia Director to facilitate efficient executive operations
  • Arrange and coordinate travel logistics for business trips to ensure smooth and timely travel experiences
  • Manage reception duties including answering calls, handling mailers, and courier services to maintain effective communication flow
  • Oversee housekeeping of office space and manage office inventory by purchasing supplies to maintain a functional work environment
  • Prepare and coordinate all meeting logistics to ensure successful and well-organized sessions
  • Maintain filing systems and databases, and print documents to support office documentation and record-keeping
  • Assist with pre-event administration by coordinating venue selection, catering, technology setup, and attendee logistics to ensure seamless event execution
  • Liaise with building management to address office facility needs and maintain good relations
  • Support interns during their stay in Singapore by providing guidance and administrative assistance

Required competencies and certifications

  • Proficiency with Microsoft Office applications and strong IT skills to perform administrative tasks efficiently
  • Proficiency in written and spoken English to communicate effectively in the office environment
  • At least GCE O-Level exam or Diploma as educational qualification
  • Minimum 2 years of experience in Secretarial, Personal Assistance, Clerical, or Administrative Support roles to ensure capability in core duties
  • Ability to exercise intercultural competence to work effectively in a diverse, international environment
  • Strong sense of confidentiality and discretion to handle sensitive information appropriately
  • Good interpersonal skills to collaborate comfortably with all levels of management

Preferred competencies and qualifications

  • Additional knowledge of an Asian language or German to enhance communication within the regional and international context
