We are looking for a Secretary and Office Manager to provide executive-level support to our CSuite and to oversee the daytoday administrative management of our office and facilities.

Responsibilities

Responsibilities on Office Management:

  • Supervise junior office admin, oversee daily office operations to ensure a well-functioning, safe and efficient workplace
  • Manage office facilities, including maintenance, repairs, cleaning, utilities, etc
  • Liaise with landlords, building management, and facility vendors
  • Ensure office layout, furniture, stationery, equipment (non-IT) etc. meet business needs
  • Drive/assist in employee welfare activities, office events
  • Support HR in talent acquisition tasks, including scheduling of interviews, onboarding, etc.
  • Undertake any ad-hoc projects assigned by the management team from time to time

Responsibilities to Senior Executives:

  • Provide general administrative support - calendar management
  • Organize Monthly Staff Meeting with CEO
  • Travel arrangement - flights, hotel bookings, visa application
  • Events planning, e.g., company offsite, when required
  • Preparation and submission of expense claims

Requirements

  • Degree or diploma in Business Administration, Office Administration or a related field
  • Minimum 5 to 7 years of related experience in a medium size multinational company
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • High attention to detail and problem-solving skills
  • Ability to work independently and handle confidential matters
  • Proactive, service oriented mindset
  • Resourceful, calm and composed under pressure
  • Proficient in Microsoft Office Applications
