1. Executive Support
. Manage and maintain the Managing Director's schedule, appointments, and travel arrangements.
. Screen and prioritize incoming correspondence, phone calls, and emails handle or redirect as appropriate.
. Prepare and edit correspondence, reports, presentations, and other documents.
. Ensure the Managing Director is well-prepared for meetings, including compiling meeting materials and briefings.
2. Meeting Coordination
. Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
. Liaise with department heads and external stakeholders on behalf of the Managing Director.
3. Office Administration
. Maintain filing systems (electronic and physical) for confidential and business records.
. Oversee general office administration related to the Managing Director's office, including stationery and document management.
. Coordinate approvals, signatures, and document flow requiring the Managing Director's review.
4. Communication and Liaison
. Serve as the primary point of contact between the Managing Director and internal/external parties.
. Draft and proofread official correspondence, announcements, and communication materials.
. Handle confidential information with integrity and discretion.
5. Project and Event Support
. Assist in coordinating company events, executive meetings, and key initiatives.
. Support follow-ups on management decisions and track progress on key action plans.
