Job Description

Roles & Responsibilities

We are seeking a pleasant, professional, and mature individual to manage front desk operations and provide vital administrative support within a dynamic secondary school environment.

1. Frontline Customer & Counter Service

  • Attend to visitors: Address needs of walk-in customers including parents, teachers, and students promptly and professionally.
  • Call management: Handle incoming telephone enquiries professionally within 3 rings.
  • Logistics & coordination: Accept parcel deliveries on behalf of staff and coordinate pickups.
  • Item loans: Oversee stationery distribution, medical logs, and coordinate lost-and-found items.
  • First Aid support: Provide basic first aid to injured/ill students in the Sick Bay and issue early departure slips.

2. Student & Disciplinary Support

  • Attendance tracking: Document student late-coming into Google Forms and issue late-arrival chits.
  • Administrative forms: Perform data entry and verify student financial assistance scheme (MOE FAS) and leave applications.
  • Discipline support: Assist the Discipline Master with the safekeeping of student personal items.
  • Meeting coordination: Schedule parent-teacher appointments for key school personnel.

3. General Administration

  • Digital management: Oversee the school's general corporate email account and process payment documents.
  • Event logistics: Support school-wide events, internal fundraising operations, and other ad-hoc assignments.
  • Upkeep: Maintain complete cleanliness and orderliness at the reception desk and Sick Bay area.

Job Requirements

Qualifications & Training

  • Minimum Education: GCE A-Level certificate, Poly Diploma, or equivalent.

Experience

  • frontline operations: Preferably 3 years of frontline customer service experience within an MOE school environment.

Skills & Competencies

  • Software: Competency in Microsoft Word and Microsoft Excel is required.
  • Communication: Exceptional active listening and interpersonal verbal communication abilities.
  • Disposition: Strong maturity to operate effectively and efficiently under pressure in a fast-paced environment.

Work Schedules

  • School Term Hours: Mondays to Fridays, 7:15 AM to 4:30 PM (includes 45 minutes lunch break).
  • School Holiday Hours: Mondays to Fridays, 8:00 AM to 5:15 PM (includes 45 minutes lunch break).
  • Rest Days: Off on Saturdays, Sundays, and all gazetted Public Holidays.
