Key Responsibilities
Customer Service and Reception
- Manage counter duties and handle public inquiries at the School General Office.
- Attend to phone and walk-in queries from parents, students, staff, and vendors professionally.
- Deliver positive service experiences by addressing concerns and escalating complex issues appropriately.
Administrative Support
- Coordinate and oversee school bus bookings, ensuring accurate scheduling for transport needs.
- Handle incoming and outgoing mail by recording, sorting, and distributing correspondence.
- Organize and coordinate the distribution of educational and operational materials to teachers and students.
Finance and Procurement
- Liaise with school buyers to verify vendor invoices against guidelines and compliance policies.
- Collate all necessary supporting documents required for monthly financial and payment processing.
- Assist in executing procurement transactions, including processing purchase requests and vetting documentation.
Operations and General Support
- Administer basic first aid treatment to students when necessary to ensure their well-being.
- Monitor and manage the inventory levels of stationery and general office supplies.
- Undertake ad-hoc duties or school projects as assigned by the management team.
Job Requirements
- Qualification: Minimum Diploma holder or above in any discipline.
- Experience: At least 2 years of relevant working experience in customer service, administration, finance, or procurement. Prior experience working within a Ministry of Education (MOE) school environment is highly preferred.
- Technical Skills: Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and general IT systems.
- Soft Skills: Excellent interpersonal, communication, and multi-tasking skills with strong time management capabilities. A stable, collaborative team player who thrives in a dynamic and fast-paced environment.
