ExecutiveAssistant

Position Summary

The Executive Assistant (EA) to thePresident is responsible for providing high-level executive, administrative,and strategic support to the President. The role ensures the efficientoperation of the President's Office through proactive calendar management,executive communications, stakeholder coordination, meeting governance, travelmanagement, confidential administration, and cross-functional coordination.

The EA acts as the primary point ofcontact between the President and internal as well as external stakeholders,exercising sound judgment, discretion, professionalism, and exceptionalorganisational skills while maintaining the highest standards of confidentialityand integrity.

This position requires the abilityto anticipate business needs, manage competing priorities, and operateeffectively in a dynamic multinational environment.

Key Responsibilities

ExecutiveOffice Management

  • Manage the President's complex and dynamic calendar, ensuring effective prioritisation of business commitments.
  • Coordinate internal and external appointments, meetings, business reviews and executive engagements.
  • Proactively identify scheduling conflicts and recommend solutions.
  • Anticipate upcoming priorities and ensure the President is adequately prepared for meetings and business activities.
  • Manage daily correspondence, ensuring timely follow-up and response.
  • Maintain an efficient filing and document management system.

ExecutiveCommunications

  • Serve as the key liaison between the President and senior leadership, headquarters, regional offices and external stakeholders.
  • Prepare meeting agendas, briefing notes and background materials.
  • Screen and prioritise incoming requests requiring the President's attention.
  • Ensure timely communication of executive decisions and follow-up actions.

Meeting& Governance Support

  • Coordinate leadership team and management meetings.
  • Prepare meeting packs, presentation materials and reports.
  • Track action items and ensure timely follow-up with stakeholders.
  • Monitor completion of agreed deliverables.

Travel& Logistics Management

  • Arrange domestic and international travel for the President.
  • Coordinate flight bookings, hotel accommodations, transportation and visa applications.
  • Prepare detailed travel itineraries.
  • Manage travel expense claims in accordance with company policies.
  • Coordinate logistics for visiting executives from Regional Headquarters and Samsung HQ.

StakeholderManagement

  • Build effective working relationships with:
  • Regional Headquarters
  • Global Headquarters
  • Country leadership team
  • External partners
  • Represent the President's Office professionally at all times.

ConfidentialAdministration

  • Handle highly confidential information with absolute discretion.
  • Maintain confidentiality of executive decisions, business strategies and personnel matters.
  • Safeguard sensitive documents and electronic records.
  • Ensure compliance with Samsung information security policies.

Office& Event Coordination

  • Coordinate executive town halls, leadership meetings and company events.
  • Support VIP visits.
  • Coordinate executive hospitality arrangements.
  • Manage meeting room bookings and event logistics.
  • Support business functions during major corporate events.

Administrative& Financial Support

  • Process purchase requests and invoices where applicable.
  • Manage departmental administrative budget records.
  • Coordinate procurement requests.
  • Monitor office expenses.
  • Liaise with Finance regarding payment processing and reconciliations.

Qualifications

Education

  • Bachelor's Degree in Business Administration, Management, Communications or a related discipline.
  • Professional Executive Assistant certification is an advantage.

Experience

  • Minimum 3-5 years of Executive Assistant experience supporting C-suite executives, preferably a CEO, President or Managing Director.
  • Experience supporting senior executives within a multinational corporation.
  • Experience working in a matrix organisation.
  • Experience coordinating regional or global executive activities is preferred.

Technical Skills

  • Advanced Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Advanced calendar management.
  • Microsoft Teams and collaboration platforms.
  • SAP/ERP systems (preferred).
  • Expense management systems.
  • Strong presentation development skills.
