Role Description
Sales Operations & Support
- Provide operational support to the sales team, including preparing reports, scheduling meetings, and coordinating sales activities.
- Manage and maintain accurate client and opportunity data within Salesforce CRM, ensuring data integrity for forecasting and reporting.
- Track leads, opportunities, and pipeline progress to support reliable sales forecasting, business insights, and performance reporting.
- Assist in preparing client-facing materials, including sales reports, proposals, decks, and tender submissions.
- Support enrolment of funded participants through the appropriate government portals, ensuring information is complete and accurate.
- Assist with invoice submissions on government platforms (e.g., Vendors@Gov) and ensure documentation meets compliance requirements.
- Renew funding applications on an annual basis (where applicable) and identify new funding opportunities to support client needs and program accessibility.
- Provide sales enablement support such as follow-up communications, coordination of client documentation, and ensuring consistent, professional touchpoints throughout the sales cycle.
- Collaborate with regional and global stakeholders to support alignment across sales processes, marketing initiatives, and client communication workflows.
Finance Coordination
- Liaise with the internal Finance team to ensure accurate and timely issuance of invoices for all client engagements.
- Follow up with clients on outstanding Purchase Orders (POs), invoices, and payments in a professional and service-oriented manner.
- Monitor invoice and payment status, ensuring all documentation is updated and aligned with internal controls and audit requirements.
- Maintain clear and current financial tracking records for each client, project, and training engagement to support internal reporting and planning.
Administrative, Compliance & Reporting
- Maintain an organized and up-to-date filing system for contracts, proposals, funding documents, and client correspondence.
- Support procurement documentation, compliance activities, vendor registration, and maintenance of payment gateway portals.
- Ensure all client, financial, and funding documentation complies with internal policies and local regulatory requirements (including PDPA and government funding guidelines).
- Provide basic sales insights and data analysis to support forecasting, opportunity management, and quarterly business reviews.
Marketing Coordination
- Work closely with the Marketing Team on campaigns, collaterals, and sales-related requests to support targeted outreach and business development activities.
- Coordinate with Marketing to gather and organize relevant data (e.g., audience lists, engagement metrics, campaign performance) to strengthen sales follow-up and lead qualifications.
- Ensure alignment between sales initiatives and ongoing marketing activities to maximize lead generation, client engagement, and program visibility.
Regional Coordination & Future Readiness
- Support coordination activities as Prosci expands operations beyond Singapore, ensuring consistency across processes, documentation, and client engagement workflows.
- Assist with alignment efforts between Singapore and emerging regional markets (e.g. and not limited to Philippines, Thailand, Vietnam etc) as operational sales requirements evolve.
- Perform anyadditionaltasks, special projects, or ad-hoc assignments as assigned by the Managing Director and/or Head of Growth,to supportevolving business needs.
Qualifications
- Applicants must be legally eligible to work in Singapore (Singapore Citizen or Permanent Resident Only).
- Strong interpersonal skills with the ability to build and maintain professional relationships
- Experience in customer support or customer service, with a customer-centric approach
- Excellent written and verbal communication skills for addressing client inquiries and working with global internal teams
- Good proficiency in Microsoft Office (Excel and PowerPoint) is needed
- Experience with Salesforce is an advantage
- Strong organizational skills with the ability to multitask and maintain attention to detail
- Prior experience in sales support or a related field is desirable
- Bachelor's degree in Business Administration, Marketing, or a related discipline is preferred
