JOB SUMMARY
To support the sales process and administrative function of the Proactive and Sales Centre Team.
DUTIES AND RESPONSIBILITIES
- To handle all incoming calls in the office within 3 rings and to assist incoming sales enquiries through the sales process including guestrooms, group and catering bookings with proper follow-up on all quotations within 24 hours.
- Complete recording of all reports assigned.
- Assist to meet prospective clients for walk in site inspections in the absence of the Sales Team Personnel in a professional manner when communicating with customers.
- Work according to advance deposit, credit and billing process procedures (if applicable).
- To ensure prompt action on all tasks allocated by Director of Sales, Proactive Sales and Sales Centre Team in adherence to due dates given.
- To maintain proper and continuous maintenance of group, event bookings & corporate/customer database within Opera / SFA / Empower.
- To extend professional phone etiquette and to promote strong and friendly bonding with working partners of the Sales Team.
- To represent the Hotel in accordance with company standards of dressing, grooming and hygiene at all times
- To be familiar with the hotel product and to utilize the facts, observations and benefits to assist with enquiries for groups and event spaces.
- Participate in competitor survey for corporate rates, group rates and seminar packages as assigned.
- Prepare correspondence (enquiries, proposals and contracts).
- Be aware and enact all company SOP.
- Be aware of and work towards Department Goals.
- Performance of Shopcall towards department goal.
- To adhere to personal behavioural norms of integrity such as grooming, ownership, contactability, accountability, responsibility, visibility and punctuality.
- Perform any duties assigned by immediate supervisor or department head according to changing business, economic, customer needs or restructure within Sales & Marketing department.
- Any other duties as may be assigned from time to time.
JOB REQUIREMENTS
- Minimum GCE O level and its equivalent
- 1 - 2 years relevant working experience in hotel's Sales and Marketing Department is a plus
- Pleasant disposition and personality with a good command of written and spoken English
- Good interpersonal and public relations skills and the ability to work as a team
- Knowledge of PC software program - MS Word, Excel, PowerPoint, Opera will be an asset
- Effective time management skills
