Job Description

As a Sales Administrator, you will be involved in identifying new opportunities, coordinating tender submissions, preparing proposals, and ensuring quotations are delivered accurately and on time. This role is ideal for someone who is organised, detail-oriented, and enjoys working in a fast-paced project environment while collaborating closely with sales, technical, and operations teams.

Key Responsibilities

1. Lead Generation & CRM Management

  • Source potential sales opportunities daily from various tender and procurement portals.

  • Enter and maintain accurate lead information in the CRM system.

  • Coordinate with Sales Management for timely lead assignment.

  • Organise and upload all related documents and files into SharePoint for easy access by the sales team.

  • Ensure proper documentation and tracking of opportunities.

2. Proposal & Tender Preparation

  • Track and manage tender submission timelines to ensure all deadlines are met.

  • Assist the sales team in preparing Bill of Materials (BOM), costing, and pricing proposals.

  • Coordinate with internal teams to gather required technical, commercial, and compliance information.

  • Prepare and compile complete tender submissions, ensuring quality, accuracy, and compliance with requirements.

  • Monitor progress from various contributors to ensure timely completion of tender inputs.

  • Prepare tender clarification responses when required.

  • Develop tender interview presentation slides.

  • Review tender documents and prepare proposal content structure and index pages.

3. Quotation Management

  • Generate quotations for resellers and partners in a timely manner.

  • Liaise with suppliers and manufacturers to obtain competitive pricing.

  • Ensure quotation accuracy, proper documentation, and alignment with project requirements.

4. Sales Toolkits & Sales Support

  • Maintain and update sales toolkits, templates, and supporting materials.

  • Conduct training sessions to guide sales team members on the proper use of sales toolkits and resources.

  • Prepare and circulate bi-weekly sales performance reports.

  • Provide administrative support to the sales team when required.

  • Support continuous improvement of sales processes and documentation.

Requirements

  • Min Diploma in Business Administration, Sales, Marketing, or related field.

  • Minimum 1-2 years of experience in Sales Administration, Tender Management, or Proposal Support.

  • Strong organisational skills and ability to manage multiple deadlines simultaneously.

  • Proficient in Microsoft Office (Excel, PowerPoint, Word) and document management systems.

  • Experience with CRM systems and tender portals is preferred.

  • Detail-oriented with strong coordination and communication skills.

  • Candidates with experience in tender submissions, proposal preparation, or project-based industries (AV, ELV, IT, Construction) will be highly preferred
