Sales Administrator
The Sales Administrator will provide end-to-end sales administration support to the Sales team, ensuring quotations, contracts, service orders, CRM records, and sales reports are accurately maintained and processed in a timely manner. The role is responsible for ensuring smooth coordination of sales activities, proper documentation, and compliance with internal processes. The ideal candidate is detail-oriented, organised, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
- Prepare and issue sales quotations, standard contracts, and service orders in accordance with approved pricing and company guidelines.
- Maintain accurate records of quotations and follow up on pending approvals and outstanding quotations.
- Process and track signed service orders and contracts, ensuring all required documentation is complete and properly filed.
- Update and maintain sales reports, dashboards, and CRM records with accurate and timely information.
- Generate weekly and monthly sales performance reports for management review.
- Monitor the sales order process and coordinate with internal teams to ensure timely processing and fulfilment.
- Organise and maintain sales contracts, agreements, quotations, and supporting documents.
- Ensure all sales documentation complies with internal approval processes and company policies.
- Coordinate with Finance on billing-related documentation, payment status, and other sales administration matters where required.
- Coordinate with Marketing on sales and promotional activities, including preparation of name cards, brochures, and other marketing materials.
- Provide administrative and coordination support to the Sales team to ensure smooth day-to-day operations.
- Proactively recommend and implement improvements to sales administration processes.
- Introduce practical automation, standardisation and tracking mechanisms to improve efficiency and reduce errors.
Requirements
- Minimum Diploma or Degree in Business Administration, Management, Sales Administration, or a related field.
- 1–3 years of relevant experience in sales administration, sales coordination, or a similar role.
- Experience in an IT services or managed services environment will be an advantage.
- Strong administrative, organisational, and coordination skills with good attention to detail.
- Good communication and interpersonal skills, with the ability to work effectively with Sales, Finance, Marketing, and other internal teams.
- Proficient in Microsoft Office and/or Google Workspace, particularly Excel/Google Sheets.
- Experience with CRM systems and sales reporting is an advantage.
- Able to manage multiple tasks and work effectively in a fast-paced environment.
