Role Overview

Key Responsibilities
Quotation & Proposal Support
. Prepare accurate, professional quotations and commercial proposals.
. Ensure pricing, documentation, and commercial terms are complete and compliant.
. Maintain proper version control and organized records for all submissions.
Sales Order & Documentation Management
. Process sales orders efficiently and accurately.
. Coordinate closely with Operations, Finance, and Logistics to ensure smooth delivery.
. Ensure all required commercial documentation is properly tracked and filed.
CRM & Reporting
. Maintain up-to-date and accurate CRM records.
. Support the generation of sales reports and performance summaries.
. Assist in tracking commission and sales-related documentation.
Tender & Compliance Coordination
. Compile and organize tender submissions and compliance documents.
. Ensure all required documents are submitted on time and in proper format.
. Support contract administration and documentation governance.
Cross-Functional Collaboration
. Act as the coordination bridge between Sales and internal departments.
. Respond promptly to internal and client administrative queries.
. Proactively follow up to prevent delays and ensure smooth workflows.
Continuous Improvement
. Identify opportunities to improve sales administration processes.
. Suggest workflow enhancements to improve efficiency and accuracy.
. Contribute to building scalable internal systems as the company grows.
What We're Looking For
Qualifications
. Diploma or Degree in Business Administration, Sales, Marketing, or a related field.
Experience
. 1-3 years of experience in Sales Administration, Sales Support, or Order Processing.
. Experience preparing quotations and handling sales documentation.
. Familiarity with CRM systems (e.g., Monday.com, Quickbooks).
. Comfortable working across multiple departments.
Technical Skills
. Proficient in Microsoft Office (especially Excel).
. Strong understanding of sales processes and documentation workflows.
. Familiarity with ERP systems is an added advantage.
Industry Exposure (Preferred)
. Experience in technology, robotics, IoT, engineering, or facilities management environments.
. Exposure to tender submissions and compliance documentation.
. Basic understanding of commercial terms and contract processes.
