Job Summary
You will support Sales, Service, and Management teams by coordinating sales administration and logistics to ensure smooth daily operations, accurate order processing, and professional front-office management.
Responsibilities
- Manage front office operations by attending to visitors and handling incoming calls professionally
- Provide administrative support to the Manager and internal departments to facilitate efficient workflows
- Prepare accurate quotations for Sales and Service teams to support customer proposals
- Process sales orders promptly and monitor shipment schedules to ensure timely delivery
- Verify completeness and compliance of shipping documents with customer requirements
- Coordinate mail, messages, and courier services to maintain effective communication
- Support marketing activities including seminars, exhibitions, and mailing campaigns to enhance brand presence
- Perform data entry, filing, and document management to maintain organized records
- Respond to general enquiries and complete ad-hoc administrative tasks as assigned
- Coordinate with suppliers, transporters, and internal teams to schedule deliveries efficiently
- Monitor and track shipment status to ensure on-time delivery and resolve issues proactively
- Prepare delivery orders, invoices, packing lists, and shipping documents accurately
- Handle import/export documentation when applicable to comply with regulations
Required competencies and certifications
- Proficient in MS Office applications (Word, Excel, PowerPoint) and CRM systems to support administrative and sales functions
- Strong organizational skills with keen attention to detail for managing multiple tasks independently
- Effective communication and interpersonal skills to collaborate across teams and with external partners
Preferred competencies and qualifications
- Minimum Diploma or equivalent in Business Administration, Logistics, or related field
- 1-3 years of relevant experience in administration and/or logistics roles
