Job Overview

We are looking for a versatile and meticulous Sales Admin cum Administrator to take full charge of our Singapore branch operations.

The successful candidate will lead the branch's general administration and financial liaison, drive sales support and logistics, and coordinate technical service schedules.

This role requires a well-rounded professional capable of managing office operations independently while acting as a key communication link with our Korea headquarters.

Key Responsibilities

1.General Administration & Financial Support

  • Accounting & Tax Liaison: Organize, prepare, and coordinate financial documents with our external accounting firm for timely GST filing and corporate tax compliance.
  • Financial Management: Manage full-cycle Accounts Payable (AP) and Accounts Receivable (AR), including billing, invoicing, and tracking outstanding payments.
  • Office Operations: Oversee overall daily office administration, manage office/pantry supplies, handle corporate correspondence, and maintain a productive office environment.
  • Schedule Management: Manage calendars, arrange business travel, and coordinate schedules for the management team.

2.Sales Support & Logistics Management

  • Order Management: Generate and submit professional Quotations, process Sales Orders (SO), and ensure accurate data entry.
  • Logistics & Shipping: Plan and prepare for packing, coordinate with freight forwarders/couriers, and track international and local shipments.
  • Documentation & Compliance: Control, verify, and archive crucial shipping and delivery documents, including Vessel Stamps and Delivery Notes (DN).

3.Vessel Attendance Service & Schedule Coordination

  • Service & Attendance Coordination: Schedule and coordinate the attendance of technical engineers on board vessels or at designated sites.
  • Agent Cooperation: Work closely with local and regional service agents to arrange service attendance and follow up on service reports.
  • Vessel Schedule Monitoring: Track and monitor vessel arrival/departure schedules to align logistics and service delivery.
  • HQ Communication Link: Maintain constant and clear communication with the Korea Headquarters regarding shipment statuses, technical service schedules, and operations.

Requirements/Qualifications

  • Minimum 2-3 years of proven experience in General Administration, Sales Support, or Operations (Experience in Marine, Maritime, or Trading industry is a strong advantage)
  • Basic knowledge of Singapore GST regulations and general accounting/administrative processes
  • Proficiency in MS Office (Excel, Word) and professional business correspondence
  • Strong multi-tasking abilities, high accountability, and attention to detail
  • Excellent interpersonal skills to liaise with external accountants, clients, and service agents
  • Professional fluency in English (Written & Spoken)
  • Proficiency in Korean is an advantage to ensure smooth and direct communication with the Korea headquarters.
  • Only open to Singaporeans and PRs.
